About the Role:
We are looking for an experienced and solutions-oriented Sample Specialist to lead the planning, execution, and continuous improvement of our product sample operations. This role is responsible for overseeing all aspects of the sample lifecycle — from intake and organization to readiness for content production and final reconciliation. You will build and manage scalable systems, collaborate cross-functionally with Merchandising, Operations, and Creative teams, and play a key role in enabling efficient content production workflows.
The ideal candidate has excellent organizational instincts, thrives in a fast-paced creative environment, and brings a proactive, process-minded approach to cross-functional logistics and sample readiness.
The Impact You'll Make:
Sample Operations Leadership
Own and lead the end-to-end sample workflow across PDP and editorial creative content, including system design, intake processes, shoot readiness, and timeline management.
Define intake processes, inventory systems, and handoff protocols for shoots and partners
Set and maintain timelines for sample readiness in collaboration with production and merchandising calendars
Anticipate seasonal sample needs and proactively communicate resource constraints or gaps
Partner with leadership on capacity planning, process design, and resource requirements across sample operations
Regularly audit and report on sample movement, losses, delays, and other operational needs.
Cross-Functional & Partner Collaboration
Act as the main point of contact between Creative, Merchandising, and Operations teams
Partner with Wholesale and EMEA teams to align on sample content priorities and feasibility
Coordinate delivery timelines and production readiness in line with campaign schedules and product availability
Contribute sample-related milestones to the production calendar in partnership with Creative Services leadership
Lead communications and meetings related to sample readiness and production schedules
Align with stakeholders on product availability, priorities, and project timelines
Proactively communicate status, constraints, and risks to minimize downstream production impacts
Process Optimization
Identify, implement, and maintain sample tracking systems or tools that increase efficiency and visibility across sample workflows (e.g., Airtable, Google Sheets, inventory platforms)
Evaluate and improve workflows, tools, and tracking systems to drive efficiency
Develop internal documentation and guidelines for best practices in sample handling and tracking
Collaborate with Creative Services leadership to align sample ops with broader production systems
Intern & Temporary Staff Oversight
Manage interns or temporary sample support staff during periods of high volume
Lead onboarding, assign daily priorities, and ensure execution meets quality standards
Provide guidance and submit feedback to leadership on performance and staffing needs
Studio Management & Support
Maintain an organized, clean, and functional studio space to support daily creative operations
Implement systems for workspace upkeep, product zones, and supply management
Reset and prepare physical space for incoming production activity
Lead seasonal inventory cleanouts, sample returns, or archiving
Support creative team requests related to product shipping, tracking, or special project needs
Jump in to assist on cross-functional priorities or evolving production needs as they arise
What You Bring:
2-3 years of experience working in Sample Coordination in a fast-paced environment
Proactive, detail-oriented, and comfortable juggling multiple projects
A team player with a no-task-too-small attitude and a love for logistics and problem-solving
Experience with tools like Sharepoint, Airtable, Asana, Bynder or similar
Ability to work cross-functionally and communicate with a wide range of stakeholders
Familiarity with production timelines, content creation, and creative workflows
A genuine enthusiasm for TOMS' mission and a commitment to making kindness in business the norm
What We Give:
This is a Direct Hire role with a target annual salary range of $70,000 - 75,000 ($33.66 - $36.06/hr) depending on experience, plus an annual bonus based on the company's performance
