What You’ll Do:

Sapphire Ventures is seeking an Executive Assistant to join our San Francisco office. In this role, you will provide high-level administrative support to 3–4 executives, ranging from Partner to VP level, with a focus on calendar management, travel coordination, and expense reporting. You will also support special projects, collaborate regularly with our broader EA team across offices, and assist with day-to-day office management tasks to help ensure smooth operations. This hybrid role requires in-office presence four days per week, primarily in our San Francisco office, with occasional travel to our Menlo Park location.

The expected salary range for this position is $75,000 - $90,000. The specific rate will depend on the successful candidate's qualifications and prior experience.

What We’re Looking For:

Our ideal EA is currently supporting between 3 - 4 executives or a team in a fast-paced, collaborative environment, ideally within a venture capital firm or similar industry. Sapphire values superb communication skills (verbal and written), proactivity, and flexibility. Attention to detail and confidentiality are critical to success in this role. The ideal candidate should take pride in navigating complex daily calendars, demonstrate excellent judgment when juggling competing priorities, and bring a forward-thinking approach to supporting busy executives. In addition to core EA responsibilities, there will be opportunities to take on special projects related to the team(s) they support.

Responsibilities include:

  • Heavy scheduling and complex calendar management for multiple executives; proactively manages shifting priorities to maximize team efficiency
  • Coordinates extensive domestic and international travel, including flights, accommodations, ground transportation, meals, itineraries, and visa support
  • Prepares and submits accurate and timely expense reports, ensuring compliance with internal policies
  • Maintains thorough and strategic contact management for the team, including CRM/database updates as needed
  • Provides a polished, client-facing experience by greeting and seating visitors, setting up and breaking down conference rooms, and ensuring a welcoming office environment
  • Represents Sapphire in a highly professional manner when interacting with senior executives, founders, and external partners on behalf of the Partners, Talent, and Marketing teams
  • Collaborates with the broader EA team by supporting colleagues as needed, participating in rotating kitchen duties, and assisting with office management tasks, including facilities coordination, vendor management, and other ad hoc requests

Skills Qualifications:

  • VC and/or finance experience preferred
  • 3-5 years of administrative experience supporting multiple executives
  • Exceptional calendar management skills (using Outlook)
  • Experience booking and managing complex travel itineraries for multiple executives
  • Strong technical skills - advanced knowledge of Microsoft Outlook required; familiarity with productivity tools (Slack, etc.) ideal
  • Have the ability to multitask, process emails and prioritize tasks in a timely fashion autonomously
  • Exceptionally organized and efficient, with strong attention to detail; consistently ensures accuracy with minimal errors or oversight
  • Demonstrates outstanding communication and interpersonal skills; consistently poised, professional, articulate, and composed in all situations
  • Strong problem solver - able to anticipate issues before they arise and proactively find/recommend solutions
  • Ability to give and receive feedback; consistently works to achieve better results
  • Trustworthy; is able to handle highly confidential/sensitive matters with discretion and tact
  • Dependable and consistent, taking pride and ownership in work
  • Willing to travel between San Francisco and Menlo Park as needed
