Job Description
Nevada State University invites applications for the position of Administrative Assistant 3 for the department of Humanities in the School of Liberal Arts, Sciences, and Business (LASB). The Humanities department includes the Chair, 12 full-time faculty members, 2 half-time faculty members, a large number of part-time instructors, and a student worker. The department schedules around 200 sections and serves over 2,000 students annually.
This position will provide high‐level administrative support to the Humanities Department Chair including managing components of the department’s operations and special projects. At the broadest level, this position will engage in calendar management, room scheduling, email communication, and customer service. Other tasks will include, but not be limited to, planning and coordinating departmental events, entering courses into the scheduling software, processing payroll contracts and communicating with part-time instructors, assisting with purchasing processes and maintaining the department budget, and supporting travel arrangements for all full-time faculty and the chair, including preparing spend authorizations (pre-travel) and expense reports (post-travel). A successful Administrative Assistant excels at organization, can prioritize multiple competing tasks, and takes initiative before others recognize the need.

Primary Responsibilities:
- Represent the Humanities department in a professional and engaging way by phone, email, and in-person.
- Communicate regularly with faculty regarding deadlines, course scheduling, book orders, etc.
- Plan and/or coordinate the planning of events for the department.
- Schedule departmental meetings, provide recordings/minutes for meetings, and contribute ideas in meetings.
- Work with the Chair to manage course scheduling.
- Generate payroll contracts for part-time instructors.
- Make departmental purchases and reconcile card transactions.
- Generate spend authorizations and expense reports for departmental travel.
- Work with the Chair to create and maintain budget spreadsheets.
- Assist hiring committees with coordination of recruitment activities.
- Coordinate with other units as needed.
- Develop special projects and additional duties as assigned by department Chair.
- Other duties as assigned.
Required Qualifications:
- Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant 2 in Nevada State service; OR an equivalent combination of education and experience as described above.

Preferred Qualifications:
- Higher education work experience.
- Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
- Experience using Workday and/or PeopleSoft.
- Strong oral and written communication skills.
- Strong organization and attention-to-detail.
- Problem-solving and ability to prioritize multiple tasks.
- Ability to maintain confidential information.
- Social Media and/or marketing content creation.
Salary & Benefits
Budgeted salary for this position is $46,207.44. Nevada State University offers excellent benefits, including a generous vacation & sick benefits, 12 paid holidays, educational benefits, a choice between three health insurance plans that can be supplemented with flexible spending accounts or health savings accounts, and an excellent pension retirement plan through the Public Employees’ Retirement System of Nevada. The plan requires employees to withhold 19.25% of the budgeted salary toward retirement with an equal employer match of 19.25%. No relocation assistance is provided for this position.
The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm.
