Job Summary: Transportation Assistant will operate within the Service located at the VA Medical Center/Health Care System (VAMC/HCS) with several Community Based Outpatient Clinics at the VA Health Care System in Iowa City, IA. The Transportation Assistant will serve as a primary contact for Veterans, doctors, nurses and administrative staff to arrange travel for eligible Veterans to appointments and residence when appropriate, to distinguish/ensure reimbursements are being conducted.

Major Duties:

  • ***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** The incumbent serves as a Transportation Assistant - Transportation Coordinator acts as primary contact to Veterans for transportation needs. The incumbent works with the Veteran Transportation Service (VTS) Supervisory Mobility Manager for transportation workload forecasting, scheduling design, procedure development, and quality improvement implementation, modification of processes, evaluation, and ongoing operational flow of the Veteran Transportation Services program. The coordination of transportation function is multi-faceted and diverse. The three major areas of responsibility are: (1) Scheduling, Data Collection, & Tracking Support; (2) Consult Management responsibilities; (3) Program Support responsibilities. The incumbent must have knowledge of clinical services, related software, and programs as they relate to clinical computing and office automation. Major duties include but are not limited to: · Performs work involving consult management, appointment scheduling and admissions scheduling. · Daily responsibilities include collecting, compiling, and tracking data and statistical information in support of Veteran Transportation Service (VTS). · Performs a basic analysis of the data and generates a variety of reports. · Reviews documents, reports and/or applications for omissions and inconsistencies and ensures data entry is complete and accurate. · Enters pertinent information into an automated tracking system. · Coordinates service practices that decrease waits and delays for patients in all specialty areas. · Utilizes the Veterans Health Information System & Technological Architecture (VISTA), Computerized Patient Record Systems (CPRS) or SharePoint Consult/Request Tracking System in processing internal consultations. · Plans for, organizes, administers, and directs how the work will be accomplished for the VTS program. · Planning responsibilities require consideration of support services e.g., systems management, operations, workload forecasting, review, and reporting of data/statistical results of program/project studies, vehicle maintenance and repair, etc. · Coordinates the day-to-day operation of VTS program flow, processes, and functions. · Plans and provides support services in the following types of program areas: electronic records management; driver scheduling setup & management; space utilization services. · Provides advice to operating managers and supervisors on how provided services assist in accomplishing their missions and programs. · Performs other related duties as assigned. Qualifications: Specialized Experience GS-5: You must have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-04) in the Federal Service, that is directly related to the work of the position and has equipped you with the particular knowledge, skills and abilities to successfully perform the duties as a Transportation Assistant - Transportation Coordinator. Qualifying specialized experience includes preparing written instructions and a variety of correspondence; performing data entry into an automated system; scheduling appointments and admissions; collecting, compiling, and tracking of data; and ensuring compliance with regulations and procedures. ~OR~ EDUCATION SUBSTITUTION GS-5 (TRANSCRIPTS REQUIRED) Successfully completed 4 years above high school in any field for which high school graduation or the equivalent is the normal prerequisite. Transcripts must be submitted at time of application. ~OR~ COMBINATION GS-5 (TRANSCRIPTS REQUIRED) Equivalent combination of successfully completed post-high school education in excess of the first 60 semester hours (beyond the second year) and specialized experience as described above, which meet the total experience requirements for this grade level. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. Transcripts must be submitted at time of application. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: Incumbent will be exposed to stressful working situations that require a professional attitude and collective reasoning. The incumbent is subject to a high volume of work, the need for accuracy, frequency of interruptions and ever-changing demands due to program changes. Duties will be predominantly performed in the Veteran Transportation Service program office with intermittent trips to various locations throughout the Medical Center's catchment area both in and near patient care areas where there may be risk of exposure to disease.
