About The Role The Executive Assistant provides high-level executive support in a one-on-one working relationship. As the primary liaison for internal and external contacts on all matters, the Executive Assistant will organize and coordinate scheduling, outreach, and special projects. The ideal candidate should be organized, focused, and thrive in a fast-paced, dynamic environment that is results-driven and people-oriented. The individual must have the ability to exercise good judgment in various situations while maintaining an effective balance among multiple priorities. The role requires the capacity to work independently on projects from conception to completion and to handle a wide array of activities and confidential matters with discretion. To succeed in this position, candidates should be proactive problem solvers with exceptional skills in administrative activities, communication, and meticulous attention to detail, organization, and process. The ideal candidate will effectively manage shifting priorities and maintain a focus on what matters most daily. Ultimately, this role will contribute to the efficiency of the business by providing timely and personalized support to the Chief People & Culture Officer. Responsibilities - Act as a trusted partner to the Chief People & Culture Officer, organizing current needs, anticipating potential conflicts, and managing sensitive business information as necessary. - Skillfully manage a high-volume calendar, handle scheduling requests, communicate changes to the team, and proactively resolve scheduling conflicts as they arise. - Ensure the executive’s time aligns with their priorities through a comprehensive understanding of the business, key stakeholders, and required collaboration. - Attend meetings alongside or on behalf of the Chief People & Culture Officer, prepare detailed agendas, capture meeting notes, track action items, and facilitate timely follow-up to support effective meetings. - Manage the People Operations team's workspace in Notion to align priorities with organizational goals and ensure deadlines are met successfully. - Assist in preparing and responding to communication needs across platforms such as Slack and Notion. - Provide administrative support in drafting, reviewing, and editing documents, presentation materials, and online resources. - Proactively coordinate onsite and offsite meetings, managing all aspects of the meeting as required (travel arrangements, technology, catering, vendors, etc.) - Support in-person and virtual events sponsored by the company that are attended by the Chief People & Culture Officer or as needed. - Manage travel scheduling and arrangements, keep the Chief People & Culture Officer updated on itinerary changes during travel, and ensure preparedness upon arrival. - Foster consistent and efficient interactions with colleagues across the company, demonstrating poise and tact under pressure while handling matters with sound judgment and respect. - Provide specialized project support and undertake additional tasks as required. - Required travel as needed for annual retreats, team meetings, and industry events/conferences (approximately 20%). - Availability to maintain a flexible schedule to accommodate varying working hours based on business demands. You Have - Bachelor's Degree in Business or a related field, preferred. - 7+ years of experience in providing high-level administrative support to executives. - 3+ years of experience in a remote capacity supporting executives. - Current experience in supporting an executive in HR/People Operations, preferred. - Strong proficiency in Google Suite and Slack, required. - Experience using Mac computers and Apple software, required. - Familiarity with productivity tools such as Notion, preferred. - Experience in setting up and managing virtual meetings and tools e.g., Google Meet, Hangouts, Zoom, etc. - Extensive schedule and travel management experience. - Experience providing concierge-level support (remote or in-person as needed) for executive travel and events. - Strong teamwork skills and the confidence to suggest and improve processes collaboratively when needed. - Strong relationship management skills with the ability to build a personal network throughout the organization and with key external contacts. - Outstanding organizational and time management skills. - Excellent verbal and written communication skills. - Ability to work with discretion and maintain confidentiality as appropriate. - Keen attention to detail and accuracy. - Availability to travel to on-site locations for team retreats, leadership meetings, and annual all-hands events approximately 20% of the time. Salary Range $85,000 - $95,000 USD/year.
