Requirements


JOB SUMMARY 

The Receiving Warehouse Clerk is responsible for coordinating and documenting all incoming shipments to ensure accurate tracking of materials, supplies, and inventory for greenhouse operations. While occasionally assisting with unloading, this role primarily focuses on paperwork, data entry, and maintaining accurate records within the inventory system. The ideal candidate is detail-oriented, organized, and able to work both independently and collaboratively in a fast-paced environment.


DUTIES & RESPONSIBILITIES


Receiving & Documentation

· Schedule delivery appointments for inbound sea containers and FTL/LTL trucks.

· Verify and reconcile incoming shipments against purchase orders, packing slips, and invoices.

· Record receipts accurately in the ERP or inventory management system.

· Maintain proper filing and electronic records of receiving documents.

· Communicate any shipment discrepancies, damages, or shortages to the Receiving Lead or Supervisor.

Inventory Tracking & Accuracy

· Update and maintain accurate inventory records for received items.

· Ensure proper labeling and tagging of materials for traceability and storage.

· Support inventory cycle counts and audits by reconciling records with physical counts.

Coordination & Communication

· Work with purchasing, production, and warehouse teams to ensure timely material availability.

· Provide timely updates on receiving status to internal stakeholders.

· Assist in resolving inventory or receiving-related issues.

General Support

· Occasionally assist with unloading shipments as needed.

· Keep the receiving office and work area clean, safe, and organized.

· Perform additional tasks or projects to support warehouse and inventory functions.

Other Responsibilities

· Participate in special projects and perform additional duties as assigned.

· Serve as a backup for international freight expediting, including ocean and air shipments.


Education & Experience

· High school diploma or equivalent required.

· Strong attention to detail and accuracy in paperwork and data entry.

· Good communication skills and ability to collaborate across departments.

· Basic understanding of warehouse processes and inventory management.

· Previous experience in receiving, inventory, or administrative support in a warehouse environment preferred.

· Experience with international shipping, customs, and import processes preferred.

· Familiarity with ERP systems, purchase orders, and inventory processes a plus.


Physical Requirements

· Ability to stand and walk for extended periods.

· Ability to bend, stoop, squat, and lift up to 50 lbs.

· Willingness to work in varying conditions, including heat, humidity, and exposure to typical greenhouse environments (smells, noise, allergens).
