Salary/Wage: $25.63/per hour. $53,310/per year.

Tribal Level: TL 115.1

INTRODUCTION:

This position provides support to the other positions that comprise the Medical Support department, with primary focus on working closely with the Health Information Specialist to obtain and process health information and providing back up support for patient registration specialist.  


DUTIES:

  • Processes all patient information that has arrived via fax, email, or mail per procedure depending on type of medical information. 
  • Distributes patient information to medical staff and pick-up any completed medical information. 
  • Medical information picked-up from medical pods needs to be reviewed for completion. Fax or scan as indicated. 
  • Scan incoming medical records and send to provider PAQ per procedures. 
  • Log outgoing patient information in PHI log as required.
  • Maintain active accounts to various community health partner EHR or record portals. 
  • Provides assistance to Health Information Specialist to pull clinic patient records and file in NextGen when needed. 
  • Assists in purging deceased and inactive charts as scheduled and according to guidelines.
  • Performs record analysis to ensure their accuracy and completeness; Runs weekly reports for incomplete encounters, and notifies providers of incomplete chart notes. 
  • Ensures that incoming and outgoing medical records are processed according to current clinic policies, legal, and regulatory requirements. 
  • Assists in peer review process by pulling random charts for review when requested. 
  • Provide back-up support to Patient Registration Specialists. 
  • Performs random audit of new patient registrations and annual updates to ensure accuracy and completeness.  
  • Other duties as assigned.


Requirements

REQUIREMENTS: 

High school diploma or equivalent. Knowledge and understanding of Medical Terminology required. Minimum of two (2) year of experience working in a medical setting. Prior experience working with medical records preferred. Excellent attention to detail and ability to maintain confidentiality of personal information. Excellent time management and organizational skills, with the ability to prioritize tasks effectively. Prior experience working in electronic health records software and other software programs such as Microsoft Office preferred. 


Knowledge of:

  • Confidentiality: Knowledge of the importance of confidentiality. 
  • Communication: Communicate information verbally and in writing so others will understand. 
  • Customer Service: Ability to communicate to people internal and external to the organization and to positively represent Siletz Community Health Clinic to patients, external health partners, and community members. 
  • Team Building: Ability to work as part of a team or on your own. 
  • Knowledge of medical procedures, medical specialties, and medical diagnoses, is preferred.  
  • Current HIPAA rules and regulations. 
  • Knowledge of or experience with IHS, PRC, Medicare, Medicaid and other 3rd party insurances. 


Ability to:

  • Ability to work independently with minimal supervision, as well as collaboratively within a team. 
  • Demonstrate competent computer skills; with specific experience in NextGen preferred, use a variety of EMR and insurance portals to obtain medical records. 
  • Maintain a positive attitude and professional demeanor in all interactions, both written and verbal. 
  • Strong analytical and problem-solving skills. 
  • Communicate with co-workers, other tribal departments, patients, and numerous community health partners to request and relay information, while ensuring HIPAA rules and regulations are maintained. 
  • Organize and prioritize tasks, complete with attention to detail and accuracy.
