This position is represented by Association of Oregon Corrections Employees (AOCE). This position may be eligible for Police & Fire (P&F) benefits through Public Employees Retirement System (PERS), as defined by statute.

About the Job – Your Role

As the Facility Institution Staff Deployment Coordinator you will coordinate and manage the ISDS data base at the assigned facility. This program coordinates the scheduling of security staff to provide balanced duty rosters that require no more staff than authorized. This position coordinates staff payroll, processes leave requests, organizes bid processes, and provides ISDS related assistance to staff as necessary. This is a full-time position (40 hours per week) and excellent customer service, attendance, and teamwork are essential.

Minimum Qualifications

  • Three (3) years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; OR
  • An associate degree in general office occupations and two (2) years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; OR
  • An equivalent combination of education and experience.

Requested Skills

  • Strong verbal and written communication skills
  • Ability to manage and handle confidential information
  • Proficiency with Microsoft Office applications (Word, Excel, Outlook, etc.)
  • Professional and respectful communication style; ability to work effectively in a fast-paced team environment
  • Strong organizational skills, with attention to detail, ability to prioritize, and multitask effectively
  • Ability to interpret and apply statutes, rules, regulations, policies, procedures, and guidelines
  • Experience running reports in the Workday system
  • Knowledge of policy, procedure, and application of State Law related to Family and Medical Leave Act, Oregon Family Leave Act, and Paid Leave Oregon
  • Understanding of BOLI (Bureau of Labor and Industries) laws
  • Familiarity with State and Federal laws regarding Military Leave
  • Knowledge of the Uniformed Services Employment and Reemployment Rights Act (USERRA)
  • Experience working with timekeeping systems
  • Experience managing staffing rosters
  • Knowledge of Union Collective Bargaining Agreements

Preferred Skills

  • Experience working with the ODOC HRIS database
  • Experience working with the ODOC ISDS database
  • Knowledge of the Association of Oregon Corrections Employees contract, particularly related to scheduling, bidding, and time-off requests
  • Ability to read, interpret, and apply security coding to rosters

Working Conditions

This position is located at the Oregon State Penitentiary. The work is performed in a prison housing close maximum-security AIC. The AICs have the potential for becoming angry, hostile, abusive, and aggressive increasing the risk to employees for physical injury, death, and/or being taken hostage. You will be working with computers for an extended period. You will work as a member of an office team where conversations and paperwork of a sensitive nature are generated and will be required to keep this information confidential.

The salary range listed above is for non-PERS qualifying applicants. PERS qualifying applicants may be eligible for an adjusted range to reflect an additional 6.95%.

Requirements for Employment

The successful candidate for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility.
