Location: Primarily based in Gaithersburg, MD with flexibility to work from home and travel to Annapolis Junction as needed.

Salary Range: $40,000 to $75,000 per year

The Recruiting Operations Assistant will play a critical role in supporting the Talent Acquisition function by sourcing candidates from job boards, uploading profiles into the ATS, formatting resumes, and using AI tools to screen applicants. This is a backend recruiting role focused on data integrity and candidate pipeline management. The ideal candidate is highly organized, tech-savvy, and driven to meet sourcing quotas and support strategic hiring goals.

 

Security Clearance Requirements:

This position requires all candidates to be U.S. Citizens.

Responsibilities:
  • Source candidates from sourcing job boards.
  • Upload candidate profiles and resumes into ATS with accuracy and consistency.
  • Format resumes to meet internal standards and improve readability for hiring managers.
  • Use AI tools to screen applicants and match them to job requirements.
  • Process incoming applications and organize candidate records based on job requisitions and clearance levels.
  • Maintain and clean up the applicant tracking system to ensure data integrity.
  • Learn and apply basic government contracting terminology and security protocols.
  • Meet weekly and monthly sourcing quotas and performance benchmarks.
  • Collaborate with the Talent Acquisition team to align sourcing efforts with strategic hiring goals.
Qualifications:

Required Skills:

  • Expert proficiency in Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Strong understanding of technology and ability to quickly learn new platforms.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Strong written communication skills and professional demeanor.
  • Driven and goal-oriented with a focus on meeting quotas and deadlines.

Experience Levels

  • Level 1: Entry-Level Recruiting Assistant
    • Profile: No prior recruiting experience; willing to learn. Strong organizational and tech skills.
    • Training: Provided.
    • Ideal For: College graduates, career changers, or administrative professionals seeking full-time work.

  • Level 2: Mid-Level Recruiting Coordinator
    • Profile: 1–3 years of experience in recruiting or HR support. Familiarity with ATS systems and AI tools preferred.
    • Training: Minimal; expected to ramp quickly.
    • Ideal For: Junior recruiters or HR coordinators with sourcing experience.
  • Level 3: Experienced Recruiting Operations Specialist
    • Profile: 3+ years of experience in recruiting operations, especially in government contracting. Proficient in ATS, job board sourcing, resume formatting, and AI screening tools.
    • Training: None required.
    • Ideal For: Experienced professionals seeking a full-time role with strategic impact.
