We are looking for a Workplace Experience & Events Coordinator who loves blending event planning, marketing creativity, and administrative excellence to support both employees and clients in a manner that reflects our employer brand and values.
In this role, you’ll partner closely with the Chief of Staff, Leadership Team, HR, Marketing, and other departments to design and deliver experiences that make people feel valued, from employee recognition activities to client events to day-to-day office hospitality. Essential Functions:
· Deliver Five-Star Hospitality: Welcome and host guests, clients, and employees with professionalism, courtesy, and polish.
· Event Planning & Marketing Support: Partner with Marketing on event preparation, catering orders, venue coordination, onsite logistics, and light design work (Canva flyers, social media graphics, invitations, etc.).
· Employee & Culture Events: Coordinate internal employee events, wellness initiatives, team meetings, and recognition activities that bring people together and elevate engagement.
· Administrative Excellence: Support leadership, sales, and service teams with documents, travel, meetings, and corporate functions.
· Client & Vendor Coordination: Work with clients, vendors, and employees for training sessions, travel logistics, and special events.
· Project Management: Independently manage recurring and special projects, from event execution to process improvements.
· HR Support: Assist with interview coordination, onboarding new employees, and HRBP initiatives while safeguarding sensitive information.
· Office Operations: Manage office supplies, breakroom inventory, shipments, and vendor partnerships (i.e. equipment, cleaning, and maintenance).
· Polished Environment: Maintain common areas, complete open/close duties, and ensure a professional, inviting atmosphere.
· Communications & Reporting: Prepare correspondence, track calendars, events, and reminders, manage incoming/outgoing mail, and provide accurate reporting as needed.
· Decision-Making & Confidentiality: Prioritize, plan, and execute work independently while handling information with discretion.
· Flexibility & Agility: Be ready to pivot quickly to solve challenges, support leadership priorities, and enhance both the employee and client experience.
· Perform additional tasks as needed and/or requested.
Requirements
· 3+ years of administrative, office coordination, or executive support experience preferred.
· High school diploma required.
· Associate’s degree in office administration, management, or related field preferred.
· A passion for events, marketing, and hospitality—you genuinely love making experiences special.
· Someone with polished professionalism who thrives in a fast-paced environment.
· A nimble, detail-oriented multitasker who can balance administrative tasks, creative projects, and people-focused initiatives.
· Professional client-facing appearance and demeanor required.
· Strong interpersonal and communication skills with the ability to build relationships across all levels.
· Exceptional organizational skills with the ability to manage multiple priorities at once.
· Experience using office machinery (printer, scanner, fax, copier, phone systems, etc.)
· Proficiency in Microsoft Office Suite and other business software tools.
· High attention to detail, problem-solving mindset, and proactive approach.
· Demonstrated ability to handle confidential information with discretion.
· Experience in hospitality and/or event coordination is a plus.
