Description
Job Description: Operations Coordinator
The Operations Coordinator plays a pivotal role in collaborating with customers, the Operations department, and Professional Drivers to guide shipments seamlessly from customer acceptance through pick-up to final product delivery. This role ensures a positive experience for both customers and drivers.
Responsibilities:
- Accept and process customer requirements, providing accurate documentation for customer review.
- Schedule and dispatch professional teams.
- Communicate and coordinate shipments with customers, ensuring follow-up requirements are met.
- Guide professional drivers through customer procedures at both shipper enroute and receiver facilities.
- Make delivery appointments verbally or through web-based platforms.
- Address scheduling questions as needed.
- Coordinate Canadian shipments inbound/outbound, collaborating with shippers, customs brokers, and teams for smooth entry.
- Schedule and coordinate professional drivers' time-off requests.
- Maintain teams' over-the-road and available workdays throughout the year.
- Respond to quote requests either by pulling from customer-specific contract or utilizing the quote engine to make a recommendation to shift leader.
- Coordinate with Maintenance Department to address repairs and schedule preventative maintenance.
- Be present during designated hours to manage business need and address the following in a timely manner:
- Telephone and electronic communications.
- Alert Board
- Emergency situations
- May perform other duties as assigned by management.
Requirements
Required Skills/Abilities:
- Excellent written and verbal communication skills.
- Sensitivity to corporate culture, organizational needs, and public image.
- Ability to work effectively and communicate with all departments within the organization.
- Strong decision-making skills in a fast-paced environment.
- Excellent time management skills with the ability to prioritize while maintaining attention to detail.
- Familiarity with laws and regulations regarding the Transportation Industry, FMCSA Hours of Service guidelines, and Hazmat regulations.
- Ability to work independently and without supervision.
- Proficient with Microsoft Office, including navigating Excel spreadsheets and other related software.
- Effective communication and collaboration with co-workers and customers.
- Ability to navigate programs associated with Canadian shipments, such as Emanifest, Ace Manifest, and DTOPS Border Crossing.
- Ability to process professional drivers in JPAS to access government facilities for security purposes.
- Ability to multitask in a fast-paced environment.
- Ability to contribute to effective problem resolution as a member of a team.
Physical Requirements:
- Must be able to remain in a stationary position 95% of the time.
- Constant operation of a computer and/or other office productivity machinery, such as a copy machine or computer printer.
