SALARY AND BENEFITS
Salary: $16.22 - $21.41 commensurate with experience and qualifications
Benefits: Our comprehensive benefits package includes health insurance with five different plans, dental and vision coverage, life and disability insurance, voluntary insurance options, and a supplemental life program. Employees are entitled to sick time, vacation time, bereavement days, holidays, and longevity pay. Flexible spending accounts (FSA) or healthcare savings accounts (HSA) are available based on the elected medical plan. Additionally, retirement savings plans are provided through the State of Michigan Office of Retirement Services (ORS). These benefits are available after just one full day of employment.

ROLE AND ESSENTIAL DUTIES
The Early and Middle Colleges Secretary is responsible for the performance of a variety of clerical and secretarial tasks in the assigned area of responsibility. The secretary may function in a secretarial team or as an individual secretary responsible for performing secretarial tasks for one or more individuals.
Essential Duties (May include, but not limited to):

Performs secretarial and clerical tasks with accuracy and attention to detail, which may include the typing of correspondence, educational reports and forms, data-entry, answering the telephone and taking appropriate messages, and assisting visitors.
Completes bookkeeping/accounting tasks related to the assigned area of responsibility. This may include maintaining department payroll and attendance records in accordance with district standards identified in the Payroll Procedures Manual.
Coordinates and maintains student records and prepares necessary documentation for the biannual pupil accounting audit.
Enforces decisions made by the supervisor and/or administrator.
Maintains a filing system and files documents and materials in accordance with the standardized filing system in the assigned area of responsibility.
Prepares reports, correspondence, and documents from dictated and/or machine transcribed notes in accordance with district standards identified in the GISD Style and Procedures Guide.
Develops drafts of reports and correspondence for review and approval of the lead secretary, supervisor and/or administrator in the assigned area of responsibility.
Sorts, processes, and delivers incoming mail.
Schedules meeting rooms as needed in the assigned area of responsibility and makes appropriate preparations for meetings.
Responsible for the operation of microcomputer and related office equipment for the purpose of word processing, database and spreadsheet development and maintenance, and printing functions in the assigned area of responsibility.
Maintains program data and results.
Utilizes district software for daily assignment and reassignment of substitute employees to insure buildings/programs are fully staffed and student needs are met.
Consistently models Win-Win leadership.

Other Duties:

Performs other related duties as assigned.
May schedule annual evaluations of staff for the building principal/administrator as directed.

QUALIFICATIONS
Education:
High school diploma or equivalent required. Business courses required. Associate’s degree desirable.

Experience:
Minimum three years successful secretarial experience or equivalent experience as a GISD Materials Clerk/Typist preferred. Experience in an educational agency desirable. Experience with pupil accounting and data entry preferred.

Skills/Other:
Ability to pass proficiency testing at the beginner skill level, and maintain proficiency in Microsoft Word, business math, spelling and keyboarding (45 wpm) required. Experience creating spreadsheets using Microsoft Excel and/or Access preferred. Ability to utilize district technology and work to maintain proficiency, as required skill sets change with technology and/or the needs of the district. Ability to solve problems, manage multiple tasks, demonstrate effective time management skills, meet deadlines and produce accurate work. Ability to relate effectively with others through oral and written communication. Strong teamwork, interpersonal communication and problem-solving skills. Punctuality and good attendance are requirements for the position. Ability to work a flexible work day, work week and work year. Demonstrated mental and physical stamina for meeting the essential duties of the position. Demonstrate honesty, integrity, and professionalism at all times. Discretion with confidential information. Ability to maintain a poised and professional image at all times. Ability to exercise good judgment and make decisions in accordance with board policies and established administrative guidelines.
