Position Summary

As the first point of contact for clients and their pets, the Veterinary Client Service Representative ensures a warm, efficient, and professional experience at every touchpoint: greeting, scheduling, check‑in / check‑out, and ongoing communication. You’ll help to keep the front desk running smoothly and support the veterinary team in delivering excellent patient care.

Some of the responsibilities you will own in this role:

  • Greet clients and patients in person with a friendly, professional attitude
  • Answer phone calls, return messages, manage emails and direct inquiries appropriately
  • Schedule, confirm, and manage appointments and procedures
  • Check clients in and out; collect payments; explain invoices; process credit card transactions
  • Maintain and update client and patient records accurately and in timely fashion
  • Assist with forms, consent, medical history, and new client intake paperwork
  • Coordinate with veterinary technicians, assistants, and doctors to ensure smooth flow
  • Manage appointment flow; help reduce wait times and maintain client satisfaction
  • Provide basic client education (vaccines, prevention, general care) when asked
  • Keep the reception area clean and organized; ensure materials / supplies are stocked
  • Assist with other clerical tasks as needed (filing, data entry, inventory, end‑of‑day reconciliation, etc.)

Preferred Qualifications

  • High school diploma or GED required
  • Prior experience in customer service; veterinary or medical front desk experience preferred
  • Strong communication skills — both over the phone and in person
  • Comfortable multitasking, managing multiple phone lines, and handling a fast‑paced environment
  • Computer literate; ability to learn practice management / appointment / billing software
  • Compassionate, patient, and professional demeanor; able to handle distressed or worried clients
  • Attention to detail; accuracy in record keeping and financial transactions
  • Ability to work at least some Saturdays (or as needed) and some evening shifts, as required for client care and hospital hours
