The Executive Assistant will provide high-level administrative support to multiple senior level executives in the Marketing & Communications area at TIAA. This role demands exceptional organizational skills, discretion, and the ability to manage a wide range of responsibilities in a fast-paced, results-driven environment. The ideal candidate will have extensive experience supporting senior executives with a blend of business management experience, ideally in the financial services or related industries.



Key Responsibilities and Duties

  • Manage multiple complex calendars, including scheduling meetings, prioritizing appointments, and resolving conflicts.

  • Serve as a gatekeeper, managing access to the senior executives and ensuring their time is used effectively.

  • Regularly prepare and organize documents for meetings, including agendas and reports.

  • Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, visas, and itineraries.

  • Prepare and submit expense reports in a timely manner ensuring the executive’s corporate credit card is always in good standing.

  • Draft, review, and edit high-level correspondence and reports on behalf of senior executives.

  • Manage and prioritize incoming emails and phone calls, responding on behalf of the executives when appropriate.

  • Act as a liaison between the executives and internal/external stakeholders, maintaining professionalism and confidentially.

  • Action special projects and initiatives, ensuring timely completion and alignment with the organization’s goals.

  • Assist in tracking progress on strategic priorities and preparing status updates for senior executives.

  • Collaborate with cross-functional teams to gather information and execute executive-led projects.

  • Plan and execute senior executive-level meetings, board sessions, and company events, ensuring seamless logistics.

  • Arrange for catering, AV support, and other necessary resources for meetings and events.

  • Maintain confidential records, files, and databases.

  • Proactively identify and implement improvements in office processes and workflows.

  • Support executives in managing additional tasks as needed.

Educational Requirements

  • Vocational and/or Technical Education Preferred

Work Experience

  • 3+ Years Required; 5+ Years Preferred

Required Skills:

  • 3+yrs of experience supporting C-Suite executives as an Executive Assistant and/or in business management roles

Preferred Skills:

  • Previous experience in financial services is highly preferred.
  • Exceptional organizational and time-management skills with the ability to manage multiple competing priorities.
  • Strong written and verbal communication skills, including experience drafting executive-level correspondence.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) as well as Teams, Concur, and Workday.
  • Demonstrated ability to thrive in a high-pressure fast-paced environment. 
  • Excellent interpersonal skills with the ability to build strong relationships across all levels of the organization.
  • Experience supporting Marketing line of business preferred.
  • Proven ability to handle sensitive and confidential information with discretion.
  • A proactive approach to problem-solving and decision-making.

Anticipated Posting End Date:

Base Pay Range: $35.31/hr. - $62.07/hr.

Actual base salary may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location.  In addition to base salary, the competitive compensation package may include, depending on the role, participation in an incentive program linked to performance (for example, annual discretionary incentive programs, non-annual sales incentive plans, or other non-annual incentive plans).
