Purpose

The College of Liberals Arts Dean’s Office is seeking a Student Associate to assist our office with administrative functions. The primary goal of this position is to aid and support the Dean’s Office Administration in the College of Liberal Arts. The position will provide customer service to students, staff, and faculty over the phone, through email, and online using our virtual communication platform, as well as greet in-person as needed.

All Work-study students are encouraged to apply for the opportunity; however, the position is also open to non-work study students.

Responsibilities:

  • Front Desk Operations (Perform office opening and closing procedures; Answer and redirect phone calls as needed; Greet and assist visitors; Mail intake, package handling, and redirecting)
  • Dean’s Office Administrative Support (Manage COLA admin email and calendar; Manage conference room calendar scheduling, reservation requests, cleanings before and following meetings, and other related tasks; Manage Dean’s Office loaner technology (OWLs & Laptops); Oversee check ins and outs, administer system updates, etc.)
  • Business Processes (Oversee and maintain supplies for kitchen and office.; Process related purchasing tasks as requested; Process vouchers; Manage and maintain COLA Listservs.)
  • Dorothy L. Gebauer Building Support (Submit work orders and support facility maintenance needs; Prepare and track key request forms; Assist Building Manager in checking fire extinguishers, equipment, etc.; Provide inventory support (scanning items in the building) as requested.)
  • Provide event support for the Office of the Dean as needed.
  • Other duties as assigned.

Required Qualifications:

In-person position; must be available for onsite work. Demonstrated customer service abilities. Excellent verbal and written communication skills. Strong organizational skills. Ability to multitask in a fast-paced environment and safeguard confidential information.

Preferred Qualifications:

Proficient in Microsoft Office (notably Microsoft Outlook). Experience in an office setting.

Salary

$15.00 per hour

Scheduled Weekly Hours

15 – 20 hours per week depending on office needs
