Kentro is hiring an experienced Operations Administrator to support our VA-ESOM- End Point Support and Operations Monitoring contract across the United States. The VA is responsible for providing comprehensive onsite and remote support to IT customers across all VA Administrations and special program offices, including direct support of over 340,000 VA employees and thousands of contractors who use government-furnished IT equipment and infrastructure. The VA provides support staff across 100+ CONUS and OCONUS locations, including difficult-to-accommodate locales, such as high cost of living or under-supported economic areas, where VA offices or facilities may be located and require onsite services.
In this role, you will be responsible for executing a variety of tasks related to onboarding new hires and ensuring a smooth transition into the organization. You will coordinate pre-hire documentation, security protocols, and pre-hire activities. Building strong, positive relationships with new hires, Hiring Managers, and both internal and external stakeholders will be an essential part of your day-to-day responsibilities. Additional duties include capturing meeting minutes, updating email groups, and supporting administrative tasks as needed. Throughout all activities, you will be expected to continuously promote and embody the Kentro brand and culture.
Location: This position can be performed remotely within the US and will support ET working hours.
Responsibilities:
Onboarding Support:
- Coordinate pre-hire documentation, security protocols, and preparatory activities.
- Draft and distribute welcome emails, coordinate with pre-hires, and support integration of new resources.
- Collaborate with HR to ensure compliance with federal/state regulations and organizational requirements.
- Provide recommendations to improve onboarding processes, tools, and workflows.
- Build positive relationships with hiring managers and stakeholders.
Coordination & Communication:
- Facilitate communication among stakeholders, schedule tasks, and organize meetings.
- Capture and distribute meeting minutes; manage email groups and distribution lists.
- Handle incoming correspondence professionally and maintain clear communication channels.
Record Keeping & Documentation:
- Maintain accurate records, databases, and SharePoint sites.
- Organize and safeguard physical and electronic files, ensuring proper handling of sensitive and classified information.
Program Operations Support:
- Assist with operational activities, including developing procedures, guidelines, and best practices.
- Prepare reports, presentations, and internal documents as needed.
Data Analysis & Reporting:
- Gather and analyze data to identify trends and areas for improvement.
- Develop detailed and ad hoc reports to support decision-making.
Requirements
- Bachelors’ degree (Minimum)
- 1-2 years of administrative experience in a fast-paced environment
- Proven ability to build relationships and engage all stakeholders to arrive at optimal outcomes
- Excellent verbal and written communication skills
- Strong proficiency with Microsoft Word, PowerPoint, Excel, and Outlook
- Ability to work independently, and able to work with high-performing project management team
- Self-motivated to complete tasks as needed

Preferred:
- Ability to write and edit process updates/changes
- Prior federal government experience

Clearance requirement:
- US Citizen or Green card holder
- Willing and able to get a Public Trust Suitability clearance
- Must meet updated ID requirements:
