To complete our creative and dynamic team in Lausanne, we are seeking a:

Administrative Assistant Intern (100%)
Starting date: 01.02.2026 for a duration of 3 months

Your role:

Following a company strategic initiative to onboard all of your existing customers into the Flyability Cloud Software, we are looking for an Administrative Assistant Intern. In this role you will assist our sales / licence administrator for setting up existing and new  customers to our Flyability Cloud Software, ensuring they get necessary software access.

What you will own: 

Customer Onboarding:

  • Manage and coordinate the customer onboarding process in line with company policies and procedures
  • Ensure customers receive all required onboarding communications and documentation
  • Answer customer questions related to onboarding and software access
  • Act as the main point of contact and liaise with the Technical Support team when needed

Technical Setup & Data Accuracy:

  • Ensure customers are correctly set up in Flyability Cloud and related internal systems
  • Verify that subscription details are accurate and aligned between Flyability Cloud and our ERP system
  • Support troubleshooting and resolution of setup or access issues

Administration & Continuous Improvement:

  • Maintain and update customer onboarding files and records
  • Keep onboarding status tracking up to date and accurate
  • Assist with other license administration tasks as required
  • Contribute to the update and improvement of internal procedures and documentation

Onboarding process:

  • Ensuring  customer receives onboarding procedure following company policy
  • Answering customer onboarding questions
  • Be the liaison with our technical support team if needed

Technical set-up:

  • Ensuring customer is well set-up in our system 
  • Ensuring subscription details are aligned with our ERP

Administrative & Ad-Hoc Tasks:

  • Maintain customer onboarding file up to date
  • Keep onboarding status up to date
  • Assist on other Licence administration tasks
  • Update our internal procedures

Requirements

Your profile:

  • Background in office administration, accounting, or related fields is a plus
  • Comfortable working with IT systems and structured processes
  • Detail-oriented, organized, and able to manage multiple tasks in parallel
