SUMMARY
A Patient Coordinator Supervisor supervises the daily activities for the Patient Coordinator team at the site. They will perform Patient Coordinator duties when needed, including collecting all required information from the patient prior to and during the patient’s visit with the physician. They will schedule patient appointments, enter demographic registration and charge entry into billing system. They will also serve as the point of contact for questions.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assist Patient Coordinators with meeting and greeting patients entering the office.
- Explain check in procedures, copy insurance cards and schedule appointments.
- Display professional appearance to public at all times.
- Assist Patient Coordinators with updating and inputting practice management information regarding patients (i.e. insurance, address, phone, etc.). Take co-pays and payment on accounts.
- Be completely familiar with Patient Management System and procedures for appointment types and recalls.
- Train Patient Coordinator on proper procedures and provide scripting as needed.
- Establish tracking tools to measure and monitor.
- Motivate staff to achieve established goals.
- Assists doctor’s staff with any questions, etc. relating to front desk.
- Train staff and establish measurements to ensure excellent patient service and internal support service to doctors and technical staff.
- Motivate Patient Coordinators to reach new heights in service excellence.
- Ensure smooth and expedient office flow for patients and doctors.
- Supervise Patient Coordinators, including but not limited to coordinating employees’ schedules.
- May assist/be responsible for hiring, disciplining, and terminating site employees with involvement of Manager and Human Resources.
- Develop and implement plan to effectively cross train staff on check in / checkout.
- Adheres to all safety policies and procedures in performing job duties and responsibilities while supporting a culture of high quality and great customer service.
- Performs other duties that may be necessary or in the best interest of the organization.
QUALIFICATIONS
- Detail oriented, professional attitude, reliable
- Management and organizational skills to support the leadership of this function
- Ability to follow or provide verbal & written instructions with sufficient grammar and spelling skills to avoid mistakes or misinterpretations
- Interpersonal skills to support customer service, functional, and team mate support needs
- Able to communicate effectively in English, both verbally and in writing
- Ability for basic to intermediate problem solving, including mathematics
- Basic to intermediate computer operation
- Proficiency with Microsoft Excel, Word, and Outlook
- Specialty knowledge of systems relating to job function
- Knowledge of state and federal regulations for this position; general understanding of HIPAA guidelines
- Directly supervises employees in the department.
- Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
EDUCATION AND/OR EXPERIENCE
- Minimum Required: High school diploma or general education degree (GED)
- Minimum Required: One year of related experience and/or training; or equivalent combination of education and experience
LICENSES AND CREDENTIALS
- Minimum Required: None
SYSTEMS AND TECHNOLOGY
- Proficient in Microsoft Excel, Word, PowerPoint, Outlook
PHYSICAL REQUIREMENTS
- This role requires a variety of physical activities to effectively perform essential job functions. The position involves frequent walking (75%), sitting (50%), and standing (50%), with regular bending, stooping, and reaching (25–50%). Employees must be able to lift, carry, push, and pull items up to 25 lbs. Strong fine motor skills and full use of hands are essential, as the role demands constant grasping, writing/typing, and use of technology. Visual and auditory acuity—including color, depth, peripheral vision, and the ability to adjust focus—is required 100% of the time. Occasional driving or climbing may also be necessary.
