About the London Metal Exchange and LME Clear:

The London Metal Exchange is the world centre for industrial metals trading. Most of the world’s global non-ferrous futures business is conducted on the LME’s three trading platforms totalling $18 trillion, 178 million lots and 4 billion tonnes with a market open interest high of 1.8 million lots in 2024. Participants can transfer or take on price risk against aluminium, copper, nickel, tin, zinc, lead, molybdenum, cobalt, lithium, steel scrap, rebar and hot-rolled coil as well as alumina, aluminium premiums and alloys.

Overall Purpose of Role:

The role of the Executive Assistant to the Group CTO is to facilitate high performance across the division through the provision of management support to the leadership team, departmental administration and the delivery of assigned projects to support transformation. The role provides an exciting opportunity for a high performing executive assistant who is looking to develop their career.

Responsibilities:

Group CTO Support (primary focus)

  • Provision of assistance, including but not limited to:
  • Gatekeeper to the Group CTO, managing day to day priorities;
  • Diary Management & meeting scheduling;
  • Travel booking & itinerary management;
  • Key meeting co-ordination, minute taking and action tracking;
  • Expense Management, including expense submission, review & approval in accordance with the LME expense policy;
  • Organisation of departmental information sessions i.e. Townhall, Offsites etc
  • Co-ordination and preparation of presentations and documents for internal and external stakeholder communication in partnership with the CTO Office;
  • Liaison with other LME and HKEx administrative functions as required.

Group InfoSec Head & Head of CTO Office (secondary focus):

  • Provision of assistance, including but not limited to:
  • Light-touch diary management & meeting scheduling;
  • Organising events e.g. offsites, workshops & team socials;
  • Travel booking & itinerary management;
  • Expense Management, including expense submission, review & approval in accordance with the LME expense policy.

Head of SPM & Head of MetAls Programme support (secondary focus): 

  • Provision of assistance, including but not limited to:
  • Travel booking & itinerary management;
  • Organisng events e.g. offsites, workshops & team socials;
  • Expense Management, including expense submission, review & approval in accordance with the LME expense policy.

Departmental Administration & Support (as needed):

  • Maintain departmental documentation as required
  • Work closely with the various business functions (e.g. Human Resources, Facilities etc) to support internal processes, and facilitate departmental uptake to include:
  • Appraisal process management;
  • Health & safety compliance monitoring in alignment with Facilities policy
  • Working with the Facilities team to perform space / seating planning.
  • Additional administrative activities from time to time as required.

Special projects:

  • Partner with Group CTO, Technology Leadership Team & CTO Office on a number of special projects including but not limited to:
  • Roll out of new operating model & IT strategy
  • Support in preparation of leadership deliverables e.g. new training curriculum, communications strategy etc   

PERSON SPECIFICATION:

Academic and Professional Qualifications Required:

  • GSCE in English and Maths. 
  • No degree required.

Required Knowledge and Level of Experience:

  • Significant experience providing support at a high level
  • Excellent IT skills including:
    • Outlook – advanced
    • PowerPoint – advanced
    • Word – advanced
    • Excel – intermediate

Skills set and Core Competencies Required for Role:

  • First-rate organisational skills
  • Exceptional knowledge of MS Office packages, i.e. Word, Excel and PowerPoint, Outlook, Microsoft Dynamics, Sitecore.
  • Excellent written and verbal communication skills
  • Articulate and professionally presented
  • Excellent ability to prioritise work load to meet deadlines and manage expectations
  • Strong and confident communicator both verbally and in written form
  • Advanced numerical literacy, and familiarity with key financial metrics profit/ loss, breakeven and financial forecasting methodologies
  • Ability to multi-task, and adapt in a fast paced business environment
  • Excellent attention to detail
