Holyoke Public Schools is a PreK-12 public school district serving nearly 5,100 students, of whom 80 percent are Latino/Latina, in 11 schools. The HR Associate provides a broad range of administrative support for the Human Resources Department, and helps facilitate and maintain a workplace environment that is productive, proactive and supports the mission, vision, and values of the Holyoke Public Schools.
- Support the day to day operations of the Human Resource and Payroll Department
- Act as first point of contact for visitors to Human Resources
- Supports the team in developing process and process improvements
- Support HR office in a variety of administrative tasks and day-to-day processes
- Provide direct administrative support for the Chief HR Officer and HR Manager, including but not limited to communications and scheduling
- Draft correspondence as needed
- Answer incoming phone calls, screen calls and refer to appropriate person or department
- Assist with the recruitment and onboarding processes; assist with new hire paperwork and track status of candidates in the electronic applicant tracking and other personnel systems; send follow-up emails when position is closed
- Manage the new hire onboarding process for staff from point of receipt of new hire notification through completion of new hire paperwork, including data entry into appropriate systems
- Assist with benefits administration
- Generate reports from applicant tracking and other personnel systems
- Prepares employment verification forms
- Update and maintain personnel files to document status changes
- Responsible for filing employee documents in personnel files
- Assist with annual performance evaluation process
- Support/Organize staff recognition programs
- Oversee event planning and coordination of community and holiday luncheons with the necessary departments, including food service, room reservations, and invitations, as well as timely ordering of the employee service awards
- Maintain confidentiality and use discretion concerning personnel actions, legal actions, separations, other confidential information of employees and students
- Actively participate and contribute to ongoing HR Initiatives & Programs
- Maintains the ethics and standards of the Human Resources profession
- Maintains a service oriented, positive, helpful, constructive attitude and work relationship with employees and the stakeholders
- Perform any other duties or tasks as assigned by the Chief HR Officer or designee
Qualifications
- Detail oriented, strong organizational skills, able to meet deadlines
- Able to exercise initiative and independent judgment
- Excellent communication and office skills; is pleasantly engaging with the ability to easily pivot between tasks; team-oriented; and strives to resolve challenges when they arise
- Bilingual English/Spanish strongly preferred
- Ability to remain calm under pressure and to de-escalate as needed
- Ability to handle confidential and sensitive information with discretion and within applicable laws and regulations
- Ability to interpret and apply policies and procedures
