About the role
As a Works Readiness Advisor, you’ll play a key role in the success of V/Line’s Asset Management and Performance Group.
Your primary responsibility is to facilitate the review of planned works across the V/Line network, ensuring all criteria and timelines outlined in relevant procedures are met.
To support your success in the role, the first month will be based in the office to allow for structured training, onboarding, and relationship building with key stakeholders and team members.
Key accountabilities include:
· Implementation and Governance: Manage the implementation of assurance and governance processes and monitor and report on non-compliance of the Works Readiness Process to senior stakeholders.
· Stakeholder Engagement: Facilitate weekly forums to ensure senior management awareness of deliverables statures, build professional partnerships with key stakeholders through regular engagement and liaise with work group leads and Project Managers to ensure all relevant information is captured.
· Planning and Scheduling: Lead Works Readiness meetings, including minutes, agendas, and follow-up actions and monitor outstanding deliverables progress within the required timeframe.
· Quality Assurance: Support in the process compliance, monitoring opportunities for improvement and recommendations.
· Continuous Improvement: Support and implement continuous improvement initiatives within the Works Readiness team.
· Reporting and Documentation: Assist in the development and preparation of reports, coordinate non-compliance reports of the Works Readiness Process to senior stakeholders and complete any other tasks as directed by the Supervisor.
· Training and Support: Support the Works Readiness Team with Business-as-usual activities.
· Lessons Learned: Actively participate in ‘lessons learnt’ workshops and contribute to continuous improvement.
About you
This role is an excellent fit for a driven Admin professional who thrives under pressure, possesses exceptional Stakeholder management skills, can operate autonomously, is focused, pays great attention to detail, and brings valuable administrative skills.
Our ideal candidate will possess the following:
· Demonstrated alignment with V/Line’s values of responsiveness, integrity, impartiality, accountability, respect, leadership and human rights.
· Experience in facilitating and leading meeting, building partnerships, and engaging with senior stakeholders.
· Experience in managing multiple stakeholders of different statures.
· Proven experience working in intensive administrative environment, with competing priorities and tight deadlines.
· Strong computer (MS office 365) and administrative skills.
· Demonstrated Written and strong verbal communication skills.

Remuneration for this position will commence at the Clerk C2 classification and is aligned with the V/Line Rail Operations and Administrative Employees Agreement 2023.
