Job Description
The School of Sustainable Engineering and the Built Environment (SSEBE) seeks a motivated and productive individual to join our team as a Fiscal Specialist. Members of the SSEBE Business Operations team are responsible for providing financial, travel, and purchasing support in support of operations, academics, and research. Individuals who understand the principles of financial practices, possess excellent customer service skills, and value continuous improvement are desired. The successful candidate should be highly skilled, innovative, and motivated to assist SSEBE in reaching our goals.
Essential Duties
• Prepares a high volume of financial transactions including requisitions, invoices, and other transaction documents in compliance with university and sponsor policies withing designated and budget guidelines.
• Processes travel requests and reimbursements, payment reimbursements purchase of supplies, services, and equipment through Concur, Workday, SunRise, and use of the Purchasing Cards in accordance with established procurement and financial policies.
• Maintains departmental purchasing cards, including daily management, document retention and monthly reconciliations.
• Creates routine and special reports using on-line tools, spreadsheets, databases, and other software as appropriate based on audience and need.
• Works with vendors and independent contractors (including visiting faculty and students) to obtain proper documentation for reimbursement.
• Follows policies, procedures, and processes appropriate documentation to deposit funds to ASU or the ASU Foundation.
• Monitors purchases utilizing multiple accounts and allocate expenses as needed; monitor and resolve outstanding encumbrances on accounts.
• Maintains department financial records and files to ensure compliance with all requirements and policies.
• Works independently and exercises professional judgment to serve as a knowledgeable and helpful resource regarding ASU fiscal/travel policies and procedures.
Desired Qualifications
• Bachelor's degree in Business Administration, Accounting
• Experience in business operations or financial services within a higher education environment
• Experience working effectively in a fast-paced dynamic environment subject to quickly changing priorities and potentially conflicting deadlines.
• Experience in maintaining financial records and processing orders for supplies, services, and equipment.
• Experience with travel policies and procedures and working with an online travel request system (ASU Experience preferred.)
• Evidence of effective communication skills in public and interpersonal settings and a high level of customer service.
• Experience in preparing detailed reports.
• Experience working successfully in a fast-paced, deadline driven environment, both independently and as a member of a team.
• Demonstrated knowledge of procedures, methods and forms associated with automated purchasing and accounting systems.
• Experience in use of ASU university systems: Workday, Concur, Sunrise, Data Warehouse.
Working Environment
• Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.
• Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
• Ability to clearly communicate to perform essential functions.
• This position receives regular review of objectives.
