We are currently seeking an Clinical Administrative Coordinator who will play a vital role in supporting the daily operations and business development of the Lung and Allergy Health Associates (LAHA) clinic. This position provides direct administrative support to patients throughout their appointments, including greeting patients, assisting with check-in and check-out, scheduling visits, processing paperwork, and maintaining accurate medical and administrative records.
Beyond patient care coordination, the role also supports marketing and outreach initiatives to increase patient volume and strengthen referral relationships within the hospital network. The ideal candidate is detail-oriented, adaptable, and comfortable balancing both administrative and promotional functions in a collaborative clinical environment.

Job Purpose:
Clinical Administrative Coordinator who will play a vital role in supporting the daily operations and business development of the Lung and Allergy Health Associates (LAHA) clinic. This position provides direct administrative support to patients throughout their appointments, including greeting patients, assisting with check-in and check-out, scheduling visits, processing paperwork, and maintaining accurate medical and administrative records.
Beyond patient care coordination, the role also supports marketing and outreach initiatives to increase patient volume and strengthen referral relationships within the hospital network. The ideal candidate is detail-oriented, adaptable, and comfortable balancing both administrative and promotional functions in a collaborative clinical environment.
Duties & Responsibilities:
- Support the Practice Manager with initiatives to increase clinic visibility, strengthen referral relationships, and enhance patient volume.
- Prepare marketing materials, including flyers, handouts, patient education sheets, and other outreach assets.
- Assist with outreach efforts to promote services, encourage patient referrals, and support community engagement.
- Coordinate the clinic’s marketing and social media calendars in collaboration with the Communications team.
- Greet and assist patients throughout their visit as needed to ensure a smooth and positive experience.
- Provide general administrative support, including answering phones, managing fax communications, collecting timesheets, and maintaining clear communication between the clinic and referring offices to ensure smooth daily operations.
- Manage and maintain all provider schedules, including Fellowship assignments, inpatient workflows, and outpatient appointments.
- Support appointment scheduling for hospital-based services and external clinic operations.
- Ensure patient charts and visit notes are complete, accurate, and up to date as needed.
- Assist with medication refills, documentation support, and biologic order tracking as needed.
- Assist with verifying authorizations, insurance requirements, and documentation needed for billing compliance as needed.
- Coordinate and track approvals for CT scans, X-rays, sleep studies, and other diagnostic testing.
- Coordinate clinical inventory management by monitoring stock levels, placing timely supply orders, tracking deliveries, and ensuring all clinical areas remain properly stocked to support uninterrupted patient care.
- Submit and monitor work orders as needed.
- Coordinate miscellaneous operational errands, including check pickups, deliveries, and equipment requests.
- Assist with the collection of documents and information required for provider onboarding, credentialing, and recredentialing.
- Track expiration dates for licenses, certifications, malpractice coverage, and required renewals.
- Support communication with credentialing organizations, payors, and hospitals to ensure timely onboarding, proper enrollment, and full compliance for new physicians and mid-level providers.
- Coordinate recruitment activities, including scheduling interviews for physicians.
- Support interview day logistics and candidate communication to ensure a professional and timely process.
- Assist with onboarding preparation, including gathering necessary documents and coordinating first-day schedules.
- Prepare, collect, and route billing documentation to support accurate and timely charge capture as needed.
- Other duties as assigned.
Qualifications
- Minimum of 2 years of administrative experience in a healthcare or clinical environment required.
- Experience supporting medical records, prior authorizations, or patient scheduling strongly preferred.
- Strong customer service experience.
- Familiarity with EMR and hospital-based workflows is a plus.
- Excellent verbal and written communication skills; professional phone etiquette required.
- Proficiency in Google Suite or Microsoft Office Suite (Outlook, Excel, Word) and comfort learning new systems.
- Highly organized, detail-oriented, and able to prioritize in a fast-paced setting.
- Demonstrated ability to collaborate across teams and departments.
