POSITION OBJECTIVE:
The Asset Administrator is responsible for the full lifecycle management of all assets in the Central Operations Centre (COC), including ICT, office equipment, and general infrastructure such as desks, chairs, and other movable assets. The role ensures the accuracy of the asset register, performs tagging and verification, and oversees acquisitions, allocations, transfers, disposals, and audits. By coordinating with finance, procurement, and operational teams, the role supports accountability, optimises utilisation, and ensures audit readiness.
In addition, the Asset Administrator enforces compliance with asset management policies and internal controls while maintaining alignment with organisational governance standards. The role works closely with vendors, technical teams, and end-users to resolve discrepancies, support refresh cycles, and maintain data integrity. By producing reconciliations, reports, and trend analyses, the role contributes to cost control, risk mitigation, and effective lifecycle planning, ultimately safeguarding asset value and supporting operational efficiency.
MINIMUM REQUIREMENTS:
- NQF 5 Higher Certificate in Asset Management, Supply Chain Management, Finance, Information Technology or similar.
TECHNICAL COMPETENCIES:
- Knowledge of asset lifecycle processes, including acquisition, tagging, allocation, and disposal.
- Proficient in using enterprise asset management systems and tools such as Hardcat, Flexera or similar.
- Understanding of asset control frameworks, audit requirements, and compliance obligations.
- Knowledge of asset registers, reconciliation methods, and reporting standards.
- Basic understanding of procurement cycles and financial controls impacting asset management.
Experience
- Minimum 3–5 years’ experience in asset administration or related function (ICT, facilities, or finance environment).
- Proven experience in maintaining an asset register, performing audits, reconciliations, and lifecycle tracking.
- Exposure to asset management systems/ERP tools (e.g., Hardcat, SAP, Flexera, SysAid, Oracle, or similar).
- Experience coordinating with finance, procurement, and operational teams to ensure compliance and audit readiness.
Other Special Requirements
- Strong understanding of asset lifecycle processes (acquisition, allocation, verification, transfer, disposal).
- Knowledge of applicable governance, audit, and compliance requirements for asset management.
KEY RESPONSIBILITIES:
- Maintain and update the asset register for all assets (physical assets, ICT hardware and software assets) ensuring asset records are accurate and up to date.
- Perform asset tagging, labelling and physical verification of equipment, and reconcile physical counts with the asset register.
- Process asset lifecycle transactions: issuance, transfers, returns, repairs, warranty claims and disposals in line with policy and controls.
- Perform condition assessment for assets before checking them into stores.
- Execute periodic reconciliations and exception reports to identify and resolve discrepancies between systems, procurement records and physical stock.
- Coordinate and manage routine asset-related tasks in response to service requests and support team requirements.
- Ensure software assets allocation does not exceed entitlements.
- Participate in the impairment exercise as required.
Support and Compliance
- Prepare and deliver regular asset reports (monthly/quarterly) for ICT, Finance and Audit, including inventory status, movements, warranty and end-of-life forecasts.
- Support internal and external audits by providing asset evidence, reconciliation packs and responding to audit queries.
- Liaise with procurement, vendors and 3rd-party logistics to confirm deliveries, warranties, returns and disposal procedures.
- Ensure compliance with asset management policies, internal controls and disposal governance; escalate non-compliance or high-risk issues to management.
Training and Knowledge Transfer
- Provide guidance and training to ICT support teams and end-users on asset request, allocation and return procedures.
- Maintain and update standard operating procedures and how-to guides for asset processes and system usage.
- Coach new team members on reconciliation processes, tagging standards and compliance requirements.
