Basic FunctionThe Program Manager will work as the lead point of contact to successfully deliver special funded programs.  This position will provide overall program development and management with the assistance of the Senior Vice President of CDYS and the Director of Financial Analysis and Special Initiatives, to develop and deliver high quality youth employment, mental health and violence prevention programs.  This position is the primary point of contact for program participants. In addition, this position has a primary role in developing policies, procedures, schedules and all documentation and training necessary to successfully achieve targeted program deliverables. It is required that the person in this position maintains strong interpersonal and communication skills, develops a strong team approach and leads from both a position of accountability and compassion.

Reports To:  Director of Financial Analysis and Special Initiatives with support of Senior Vice President of CDYS

Supervises (Position Title): program assistant (as required)

Principal Duties and Responsibilities

  • Main contact with program participant and partner organization program staff
  • Develop documentation and oversee compliance for Special funded programs including the implementation of processes, protocols, forms, communication plans, etc.
  • Hire, supervise, train and develop assigned staff members.
  • Establish best practices for application process and minimize barriers to participation.
  • Oversee scheduling of outreach events, meetings, communication plan, and other required program events.
  • Collect and monitor application data.
  • Involvement in program budget management
  • Involvement in program outcome activities including a post-program outreach.
  • Led and oversee program closeout activities.
  • Ability to work some weekend and evening hours for planned outreach events.
  • Ability to work with tight deadlines.
  • Attend mandated training and orientation sessions with funding organizations.
  • Must maintain confidentiality of all information and adheres to the Agency’s policies and procedures.
  • Respond to agency and program needs by performing other tasks which do not fall within the above description. If such tasks are not of a temporary nature, they should be added to this list of designated responsibilities.

Essential Knowledge, Skills & Abilities:

  • Exceptional Customer service skills, knowledge of Spanish a plus.
  • Possess attention to detail with experience in following set procedures and protocols including documenting contacts and other information in online portal.
  • Knowledge of Microsoft applications as well as Zoom and Web based programs.
  • Comfortable communicating in multiple ways with individuals served, staff, school personnel, government officials and other stakeholders (phone, email, text, teams, messaging, etc.).
  • Comfortable speaking in front of people in person, large group, one-on-one, or via web-based program (Zoom, WebEx, etc.)
  • Comfortable in a leadership position, making decisions that will comply with and enhance the program.
  • Comfortable being the point of contact with External and Internal key management individuals and representing Ada as the point of contact at all times.
  • Strong interpersonal, organizational, planning and communication skills.

Specifications

  • Bachelor’s degree or five or more years of Program management experience, including supervisory experience for internal and external team members.
  • 5 years' experience developing programs for diverse individuals, including experience in program development that includes processing applications, validating information, developing protocols and procedures from inception of a program through close-out is preferred.
  • Experience working with and for individuals with disabilities and following ADA requirements a strong plus.
  • This position requires a valid driver’s license and own vehicle to travel to programs sites and elsewhere.
Mental/Physical Demands:
Ability to read, analyzes, and interpret detailed instructions and follow set protocols including documenting communication and other required contact points.   
Ability to effectively present information and respond to questions from manager, clients, and customer service employees.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with customer service complaints and escalate to manager as appropriate.

While performing the duties of this job, the employee is frequently required to sit, talk, hear, and to use hands to operate the computer.  The employee is occasionally required to stand and walk.  The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision, peripheral vision, and the ability to adjust focus.

Work Environment

Duties are to be performed in a variety of settings which include work office and home office environments as well as school and community settings.  Local travel is required for this position. While performing the duties of this job employee may occasionally be exposed to outside weather conditions.
