Job Summary:

The Psychiatric MAII is responsible for supporting the clinical operations of psychiatry services across multiple outpatient clinic locations. This role provides onsite float coverage when needed, manages provider in-baskets and prior authorizations, onboards, trains, and audits Psychiatric Medical Assistants (PMAs), and ensures adequate staffing coverage during absences. The MAII works closely with providers, clinic leadership, and support staff to ensure consistent, high-quality patient care and operational excellence.

 

 

Duties/Responsibilities:

  • Lead, train, and provide real-time support to Psychiatric Medical Assistants (PMAs).

  • Monitor PMA workflows for efficiency, compliance, and adherence to psychiatric protocols.

  • Support PMAs in troubleshooting and maintaining high standards of patient care.

  • Assist with callouts and ensuring coverage is arranged, either by floating to the clinic or coordinating coverage with other available staff, to maintain uninterrupted clinic operations.

  • Provide float coverage across psychiatry clinics during staff absences.

  • Assist in clinic operations by rooming patients, supporting provider workflow, and facilitating patient communication.

  • Maintain continuity of care and clinic flow during transitions or shortages.

  • Complete and manage prior authorizations for psychiatric medications and services.

  • Monitor and manage psychiatric provider in-baskets, including refills, lab/result follow-ups, and patient messages.

  • Coordinate communication with insurance providers and pharmacies to support medication access and continuity.

  • Serve as a liaison between psychiatric providers, support staff, and administrative leadership.

  • Escalate workflow concerns or provider support needs to the Psychiatric Operational Manager.

  • Foster strong communication and collaboration across all clinic sites.

Qualifications


Required Skills/Knowledge/Abilities: 

  • Ability and willingness to travel between clinic sites regularly.

  • Strong communication, organizational, and problem-solving skills.

  • Previous supervisory or lead experience in a clinical setting preferred.

  • Familiarity with HIPAA compliance and mental health documentation standards preferred.

 

 

Education and Experience:

Required: 

  • High School Diploma or GED.

  • Certified or Registered Medical Assistant OR completion of a Medical Assistant program that meets the BOMEX training guidelines OR completion of a United States Armed Forces medical services training program OR meet necessary guidelines as described in Arizona Board of Medical Examiners Administrative Code, Title 4, Chapter 16, Article 4, Section R4-16-401, paragraphs A and B prior to start date.

  • 2-years behavioral health experience

  • Proficiency in prior authorization workflows and understanding of payer requirements. 

  • Experience working with electronic health records (e.g., Epic).

  • New Hires are required to pass pre-employment background check and drug testing (effective 11/1/2022).

  • Current Level 1 Fingerprint Clearance Card or must pass fingerprint clearance within 7 days following hire.

  • Basic Life Support (BLS) certification.
