Position Overview:
The Support Specialist, Plant Maintenance plays a critical role in ensuring the smooth and efficient execution of maintenance activities at MP Materials. This position provides direct administrative and coordination support to the Facilities & Maintenance Manager and the Maintenance Planner. The Support Specialist, Plant Maintenance will assist with preventive maintenance (PM) builds, scheduling, SES entry, vendor coordination, and documentation. They will also support meetings, track action items, maintain communication boards, and help streamline maintenance processes across the facility.
Position Responsibilities:
- Enter and manage maintenance-related administrative tasks such as SESes, purchase requisitions, and work orders.
- Support the planner in building and updating PMs, scheduling work, and maintaining a 3-day rolling schedule.
- Document meeting minutes for passover, outage, and planning meetings, ensuring action items are tracked and communicated.
- Maintain the Maintenance Communication Board with up-to-date information from meetings and work execution.
- Coordinate with vendors and supply chain to track open orders, follow up on delays, and expedite parts or materials as needed.
- Assist in the preparation and formatting of maintenance-related reports, presentations, and training documents.
- Track and manage maintenance documentation including PM plans, standard work instructions, and technical files.
- Support onboarding of new maintenance team members with system access, documentation, and training resources.
- Coordinate with HR and leadership to assist with timecards, training records, and attendance tracking for maintenance staff.
- Provide general support to ensure smooth daily operation of the Facilities & Maintenance team.
Basic Qualifications:
- 1–3 years proven experience in an administrative, maintenance coordination, or support role within an industrial or manufacturing environment.
- Familiarity with ERP/CMMS systems (e.g., SAP PM) and related software.
- Excellent organizational and time-management skills, with strong attention to detail.
- Strong problem-solving abilities and ability to manage multiple priorities effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, Visio).
- Strong communication and interpersonal skills, with ability to collaborate with technical teams.
- Strong willingness to learn and adapt in a fast-paced, evolving environment.
- Comfortable managing multiple priorities in a startup or growth environment.
- Team-oriented, proactive, and eager to contribute to continuous improvement.
- Results-driven, self-starter mindset with a strong sense of accountability.
