About the Department

The Department of Transportation and Public Facilities (DOT&PF) Northern Region Highways and Aviation is looking for an Administrative Assistant 1 in NOME to help us Keep Alaska Moving!


What you will be doing:

  • Provides administrative and technical support for the Western District Maintenance and Operations office, including accounting, procurement, financial tracking, and airport administrative duties.
  • Assists the Administrative Assistant 3, District Superintendent, and Airport Manager with personnel actions, regulatory compliance, airport security training, and badging processes.
  • Prepares, codes, and tracks expenditures, time sheets, travel documents, and stock requests while maintaining organized financial and administrative records.
  • Acts as the main point of contact for the office—handling reception, correspondence, and communication with staff, contractors, and the public.
  • Completes special projects and reports, supports airport and maintenance operations, and provides coverage for lead office functions as needed.

The working environment you can expect:

This position is based in Nome, Alaska within the Western District. The daily work environment includes interactions with the Rural Airport Manager to assist with compliance-related issues such as safety reports and inspections. You will also collaborate with regional administrative staff on budget functions and regularly work with the finance division to manage invoices and payments. Additionally, you will coordinate stock requests and purchasing needs with the supply section. This dynamic role requires teamwork and effective communication to support the region’s operations.

Position Duties

Six months of advanced clerical experience. This experience includes work such as Office Assistant 2, Accounting Clerk, and similar classes with the State of Alaska or the equivalent with another employer.

OR
Six months of any combination of post-secondary education, vocational education, and/or advanced-level clerical experience. (Three semester or four quarter hours of post-secondary education are equal to one month of experience; 150 hours of vocational education are equal to one month of experience.)

Special Note:
Examples of advanced clerical experience include:

-Reviewing complex or questionable applications or documents and searching files and regulations to determine accuracy of information to clarify applicant status; using judgment in applying criteria, rules, regulations, and policies; providing information to organizational unit staff on administrative processes and procedures; tracking expenditures; and completing necessary administrative paperwork according to regulations.
-Composing letters and memoranda; completing and reviewing forms for completeness and accuracy using readily available information from multiple sources and established guidelines and procedures. Examples of such tasks include time sheets, appointment paperwork, or required drug testing notifications for employees in positions requiring possession of a valid Commercial Driver's License (CDL).
