Job Overview

The Hospitality Manager serves as the first impression of Wheaton College for prospective students and their families, ensuring every guest experiences exceptional service and genuine care. Overseeing the Visit Coordinator and Event Coordinator, this role manages all aspects of the on-campus visit experience—from individual visits to large-scale events—reflecting Wheaton’s mission, values, and commitment to excellence. Reporting to the Associate Director of Operations, this position pays in the range of $55,000 - $60,000 annually.

 

Duties and Responsibilities

  • Serves as a consistent presence in the Great Hall welcome space, actively cultivating a culture of warmth, professionalism, and excellence in hospitality.
  • Leads and supports the Visit Coordinator and Event Coordinator to deliver consistently high-quality and hospitable experiences.
  • Provides exceptional customer service to all prospective students, families, and guests, modeling Wheaton’s standards of hospitality and professionalism.
  • Creates and maintains the annual events calendar in Slate CRM and oversee visit registration systems, ensuring accuracy and timely communication.
  • Plans and coordinates communications for events to achieve optimal attendance and engagement.
  • Supports the Event Coordinator in managing logistics, ensuring smooth operations for all events regardless of size or complexity.
  • Refines survey strategy to capture meaningful feedback across all visit types, increase response rates, and continuously improve the guest experience.
  • Develops reporting practices to evaluate visit and event effectiveness, quantifying impact and value by student profile.
  • Collaborates with Admissions leadership to continually assess and enhance the campus visit experience.
  • Conducts regular competitive analysis of peer institutions’ visit and event offerings.

Qualifications

  • Bachelor’s degree preferred
  • 2 years of experience in hospitality, guest relations, or event coordination
  • Warm, welcoming presence with exceptional interpersonal and customer service skills
  • Strong communication and organizational abilities with attention to detail and follow-through
  • Proven ability to anticipate needs, adapt quickly, and create memorable guest experiences
  • Skilled at leading and motivating teams to deliver excellent service
  • Flexible and dependable, willingness to work evenings and weekends during major event weeks
  • Demonstrated faith in Jesus Christ and a discipleship mindset that models servant leadership

 

Physical Requirements 

The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 20 pounds. Physically able to interface with a computer, keyboard, and mouse several hours a day and handle print and packaging materials.
