This is an on-site position. This role will not be remote. 

Applicants must be currently authorized to work in the US on a full-time basis. IPTC will not sponsor visas or work authorizations for this position.

POSITION PURPOSE 

 

Accounts Payable Associates are responsible for receiving, processing, and verifying invoices related to accounts payable. This position requires tracking purchase orders and processing payments according to the Indianapolis Public Transportation Corporation's policy. 

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES 

 

To perform successfully in this role, team members must be able to carry out the following key responsibilities. Reasonable accommodation may be provided to enable team members with disabilities to perform these functions. 

 

ESSENTIAL FUNCTIONS 

 

  • Create payment journals and bank files. 
  • Analyze and validate invoices received from vendors to determine whether payment is owed.
  • Communicate to vendors regarding any issues with an invoice received including payment denials, requests for updated vendor information or corrections to inaccurate charges based on purchase order terms.
  • Identify if invoices are tied to a purchase order or agreement independently.  Notify the appropriate internal project lead if a requisition and purchase order have not been created. 
  • Code and enter all payment information needed to process an invoice to completion.  Includes evaluating an appropriate fund, account, and department. 
  • Serve as a resource to vendors and internal customers for financial information and problem resolution. 
  • Respond to inquiries from other departments regarding financial results by providing updates as needed. 
  • Pay vendors and verify all information related to the vendor. 
  • Ability to multitask and meet deadline requirements based on net terms.

EDUCATION AND/OR EXPERIENCE 

 

To perform this job successfully, an individual should possess the following education and/or experience. 

 

  • An associate's degree in accounting, finance or a related field preferred, or an equivalent combination of education, training and experience.  

 

 

KNOWLEDGE, SKILLS, AND ABILITIES 

 

The requirements listed below are representative of the knowledge, skills, and/or abilities required to perform each essential duty satisfactorily. 

 

  • Basic knowledge of accounting principles, financial reporting and general ledger.  
  • Proficiency in using a computer, including proficiency with Microsoft Office, the internet, spreadsheets and databases.  
  • Ability to operate office equipment, including copiers, fax machines and phones.  
  • Ability to interact with others, both in person and through phone, e-mail and written correspondence.  
  • Above-average decision-making and problem-solving abilities.  
  • Above-average mathematical abilities (addition, subtraction, multiplication, division, percentages, ratios, and fractions) and the ability to apply principles of algebra and geometry.  
  • Ability to process and analyze data.  
  • Ability to prioritize, organize and manage tasks and time effectively.
