The Office Manager for the Clinic is an important part of the health care team who provides administrative and clinical support to the other health care providers within the Center. The Office Manager for the Clinic is responsible for coordination of the clerical and receptionist responsibilities of the office. This individual will also assist the other health care providers with appropriate clinical practice responsibilities within his or her scope of practice as a Certified Medical Assistant (CMA) and adhere to Center policies with regard to safety, privacy, clinical practice and office functions. In addition, this individual will coordinate communication, educational programming and administrative responsibilities related to the partnership of Rutgers University, Camden, School of Nursing and the LEAP Academy University Charter School.
Position Responsibilities:
Administrative and Clerical Services
o Front office coordination (answering telephones, scheduling appointments, coordinating specialty referrals, hospital admissions and diagnostic testing)
o Health records management including electronic health records (EHR)
o Inventory and maintenance of office supplies and equipment
o Procedure and diagnostic coding insurance claim forms
o Billing procedures and records
o Bookkeeping records
o Coordination of special events, programming and grant-related activities related to the Rutgers/LEAP Health and Wellness Center partnership.
o Adhere to policies, procedures, standards and laws related to privacy, safety and other administrative and clinical functions within the Center.
o Assist the Director or designee with any additional responsibilities as required.
Health Care Services
o Taking vital signs
o Gather patient health history and information
o Assist health care providers as required to educate the patients about treatments and conditions.
o Collect medical samples for lab testing
o Sterilization of instruments (if applicable)
o Authorizing refills as requested by the health care providers.
o Performing other responsibilities within the CMA license and scope of practice as requested by the health care providers.
Reporting Structure: This position is directly supervised by the Director of the Rutgers/LEAP Health and Wellness Center
Required Qualifications:
· High school diploma or equivalent
· Current license as Certified Medical Assistant (CMA)
· Minimum 1 year experience as a receptionist and CMA
Skills:
· Strong written and oral communication skills
· Computer literacy and typing skills
· Experience with Microsoft office software
· Bilingual (English/Spanish) with preferred certification in Spanish translation

TERMS OF EMPLOYMENT: Twelve month contracted position. Salary, hours and work year to be determined by Board of Trustees.
SALARY GRADE/RANGE: 40,000.00
