Online Veterinary Services Assistant
The Arizona Humane Society is looking for a full-time Online Veterinary Services Assistant to work hybrid on Thursdays and Sundays 9:00 AM – 6:00 PM and join our dedicated team where your communication skills, attention to detail, and passion for animals will truly matter. A Day in the Life:
The Online Veterinary Services Assistant will assist the public in a courteous and professional manner. They will filter appointments, and check patients in and out. They will assist DVMs with client communications and record keeping. They will assist with the collection and reporting of clinic data as well as data entry for reporting and tracking.
Job Requirements:
- High school diploma/GED
- Must be 18+ years old.
- Minimum 2 years of experience in a veterinary hospital or animal shelter as a receptionist, vet assistant, or veterinary technician.
- Strong written and verbal communication skills; Spanish a plus.
- Technically proficient with Microsoft Office and able to learn Daysmart software.
- Highly organized, self-motivated, and able to manage time independently.
- Screen appointments for suitability based on clinic protocols.
- Respond to client inquiries in a timely, accurate, and professional manner.
- Ensure required client media (videos, photos, records) are received and properly filed.
- Fill in-house medications and input Chewy prescriptions into the system as needed.
- Call in prescriptions to external pharmacies.
- Create and send treatment estimates to clients.
- Schedule follow-up and in-person appointments with clear client instructions.
- Check patients in for surgery and wellness visits, ensuring accurate records.
- Provide home care instructions and explain medications at check-out.
- Check patients out efficiently while maintaining accuracy and professionalism.
- Collect and log clinic data in spreadsheets for reporting and tracking.
Physical Demands/Work Environment:
While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands to finger, handle, or feel objects, tools or controls, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 20 pounds. This position requires repetitive motion involving the hands, wrists, elbows and shoulders plus good dexterity for answering phones, writing and data entry. Good hearing and vision are necessary as well as the ability to talk loudly to project over sometimes very noisy animals.
There will be occasional wet floors, animal noises, odors, and dander. Most time will be spent in a typical air conditioned and heated office environment.
