We also promise to care for you as an individual and help you grow in your role The Senior Administrative Assistant is responsible for providing top-tier administrative support to our senior executives and ensuring the smooth operation of our organization. The ideal candidate will demonstrate exceptional organizational skills and a sharp attention to detail, coupled with the ability to manage multiple priorities efficiently in a dynamic healthcare environment. This role requires strong communication skills, proactive problem-solving abilities, and a commitment to delivering high-quality support that facilitates the effectiveness of our leadership team and optimizes operational workflows.

Responsibilities

  • Provide comprehensive administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements.
  • Prepare and edit correspondence, reports, and presentations with a high degree of accuracy and professionalism.
  • Handle confidential information with discretion and maintain a high level of integrity.
  • Oversee the daily operations of the office, ensuring a well-organized and efficient work environment.
  • Manage office supplies inventory and place orders as needed.
  • Coordinate with IT and facilities teams to address any office-related issues.
  • Serve as the primary point of contact for internal and external communications, including answering phone calls, responding to emails, and greeting visitors.
  • Facilitate effective communication between executives and other departments.
  • Assist in the planning and execution of company events, meetings, and projects.
  • Track project timelines, deliverables, and milestones to ensure timely completion.
  • Maintain and organize electronic and physical files, ensuring easy retrieval of information.
  • Prepare and distribute meeting agendas, minutes, and follow-up action items.
  • Demonstrate excellent guest service to internal team members and patients.
  • Perform other related duties as assigned.

Qualifications

  • High School Diploma, associate or bachelor's degree a plus
  • 5+ years of experience in an administrative support role
  • Proven track record of managing complex calendars, travel arrangements, and office operations
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
  • Familiarity with healthcare industry regulations and terminology
  • Ability to work independently and as part of a team
  • High level of professionalism and confidentiality
  • Detail-oriented with a proactive approach to problem-solving
  • Strong interpersonal skills and the ability to build positive relationships with colleagues and stakeholders
  • Ability to travel as needed
  • Ability to work independently in a fast-paced, cross-functional environment

Physical Demands

Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker must have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Ability to lift to 15 lbs. independently not to exceed 50 lbs. without help.
