Administrative Assistant
United Church of Christ
Purpose: The Administrative Assistant provides support to the ministerial team of Middle Church and to the staff and congregation more broadly. Key responsibilities include database management and support; correspondence with congregants and community members; scheduling and notetaking during meetings; management of online and physical filing systems; managing inventory and ordering supplies; support for website and social media as needed; the creation of spreadsheets, graphs, bulletins and programs as needed; general office support; support for worship and program on Sundays and throughout the week including hospitality.
Skills Required: The successful candidate is organized, responsible, prompt, unflappable, flexible, and eager. They should have 5 years of administrative experience in a similar organization. They must be able to work in the office 5 days a week, Sunday through Thursday 9 am-5pm, and on rare occasions, Friday and Saturday in exchange for other weekdays. Is kind, collaborative, candid and has competency in multicultural settings. They must have expert knowledge of Microsoft Office Suite, Outlook, Adobe Acrobat Pro, scheduling, database, and project management software. Design and Social media experience are a plus.
Position Details:
Supervisor: Director, Events and Community Center
Schedule: Sunday through Thursday 9 am-5pm, and on rare occasions, Friday and Saturday in exchange for other weekdays, for 40 hours per week.
Collaborates closely with:
- Director of Operations and Administration
- Ministers
- Operations/Administrative team
Serves on the following teams:
- Operations
- Worship
- Attends All Staff meetings as note taker
Key Responsibilities:
- Provides key administrative support to the team, including database management, database support, scheduling and notetaking during meetings, management of office and online filing systems, and general office support.
- Provides focused administrative support to Development and Care, including correspondence, data tracking and reporting; the creation of graphs and presentations; scheduling meetings and sending cards. Offers administrative support to worship, justice, communication, and congregational life programs.
- Serves as front of office/receptionist when needed.
- Supports Sunday worship and programs throughout the week including hospitality. May include creating bulletins, programs, graphs, etc.
- Other projects and duties as needed to fulfill the vision and mission of the church.
