WHO YOU ARE
As the Office Assistant you will provide administrative and operational support to the Building Operations department. You will ensure smooth daily operations by assisting with office tasks, scheduling, recordkeeping, and staff services. You will also support safety trainings, building tours, sustainability tracking, and basic facility upkeep, contributing to the overall efficiency and success of AGU’s building operations.
WHAT YOU WILL DO
- Provide general administrative support to the Building Operations team.
- Maintain and organize department files, records, and documentation.
- Assist with scheduling meetings, preparing agendas, and taking meeting notes as needed.
- Support staff by preparing correspondence, reports, and other documents.
- Monitor office supplies and assist with ordering and inventory control.
- Assist with coordinating vendor visits, deliveries, and service requests.
- Greet visitors, answer phones, and direct inquiries to appropriate staff members.
- Assist with mail deliveries, sorting, and distribution.
- Maintain the kitchen area by cleaning and re-stocking supplies.
- Coordinate security access for staff during onboarding and termination processes.
- Schedule and coordinate fire evacuation drills, CPR training, and active shooter training.
- Schedule building tours, track attendance, and collect data from tours.
- Collect and record data related to waste, recycling, and composting.
- Provide support for departmental events, trainings, or special projects as requested.
- Assist the Director of Building Operations with special projects and other duties as assigned
- Perform other duties as required or assigned which are reasonably within the scope of the duties in this job classification.
WHAT YOU WILL BRING
- High school diploma or equivalent required; some college coursework preferred.
- 3+ years of administrative or office support experience preferred.
- Prior experience coordinating trainings or handling security access is a plus.
- Organizational skills with attention to detail.
- Ability to juggle multiple tasks with efficiency.
- Ability to provide courteous and professional customer service through positive collaboration.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint and Teams).
- Ability to work independently with minimal supervision.
- Ability to communicate effectively, in an impactful manner, both verbally and in writing with internal and external stakeholders.

- Full Time, Non-Exempt/ Hourly, position
- The Hourly pay range for this position is Minimum-$23.38, Mid $29.23 and Max $33.02 We take in a lot of factors in determining the final pay.
