Job Summary
Medical Records is responsible for retrieving or sending patient medical records to physicians, technicians, or other medical personnel. Maintains medical record integrity and confidentiality to ensure compliance with HIPAA. Reviews records for completeness and accuracy before release. May scan chart information as well as new and current patient information into our electronic health record system. The individual Answers questions from patients, clerical staff, and insurance companies and is skilled in written and verbal communication to assist with a variety of issues. Contact physicians regarding incomplete charts; excellent ability to multitask required. Demonstrates exceptional customer service skills, must be able to work well in a fast-paced environment and learn quickly.
Responsibilities:
- Make new patient appointments
- Taking medical history
- Answering telephones
- Welcoming patients
- Updating and filing patient medical records
- Filling out insurance forms
- Scheduling appointments
- Arranging for hospital admissions and laboratory services
- Handling different types of correspondence
- Exhibit excellent customer service internally with co-workers and external contacts.
- Protect the security and confidentiality of medical records to ensure compliance with HIPAA.
- Retrieve or send patient medical records for physicians, technicians, or other medical personnel.
- Resolve or clarify records or diagnoses with conflicting, missing, or unclear information by consulting with doctors
- Ensures charts are signed off by the treating physician before sending out
- Review records for completeness, accuracy, and compliance with regulations.
- Track inquiries, question,s and answers and provide resolution.
REQUIRED QUALIFICATIONS:
• A high school diploma or GED.
• 1 year of experience working in a clerical medical setting, practice, hospital, etc., with patient billing or charting.
• A minimum of 1 year of experience utilizing windows-based computers.
• Understanding of basic medical terminology.
• Ability to respond to questions in a tactful and professional manner
• Excellent written and verbal communication skills.
• Demonstrated data entry and pc skills, advanced software use, including MS Office.
• I year of customer service skills.
• Typing speed is a minimum of 35 wpm.
• Successful clearance screen through the Office of Inspector General (OIG) for federal health programs.
Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below:
- Familiarity with medical terminology.
- Knowledge medical charting.
- Problem-solving abilities/good judgment.
- Strong interpersonal skills; service-oriented.
- Effective communication skills (both written and verbal).
- Intermediate knowledge of windows based software, including medical practice software.
- Superb Auditory skills to effectively listen to patients' reports of their problems/needs.
- Ability to verbally de-escalate disruptive behavior; use of diplomacy, tact, and patience needed in dealing with those in acute distress.
- Knowledge and observation of HIPAA compliance standards.

PREFERRED QUALIFICATIONS:
- 2 or more years of previous experience in medical office charting, HIT.
- Comfortable working as an important team member and presenting a professional and competent presence.
- 1 year of experience working with Electronic Health Record software. Isalus
- Undergraduate Degree in business or a health informatics-related field from an accredited university.
Physical Requirements:
May be expected to lift up to 5 pounds or up to 10 pounds with assistance. Work is of light demand; sitting most of the time while on duty. Visual and auditory acuity and manual dexterity are essential to performing designated duties required: optimal auditory acuity required; manual dexterity involving the handling of equipment and computers is essential to performing assigned duties. Physical conditions are clean, neat and well-lit. May be subjected to stressful situations. Climate control and ambient temperature variances may be experienced associated with a normal office environment. Tasks/activities do not entail predictable or unpredictable exposure to blood or other body fluids to which universal precautions apply.
