 Summary

We’re looking for a detail-driven Business Process Content Specialist to help manage and maintain our Controlled BPM Library. In this role, you’ll ensure process documentation meets BPM standards, formatting guidelines, and ISO 9001 compliance requirements. You’ll collaborate closely with process owners, auditors, and the BPM team to keep content accurate, consistent, and audit-ready. Some of the work you will do: 

  • Process Document Quality and Formatting: Ensure documents (e.g., BPMN process flow diagrams, SOPs, QMS documents) meet defined styles, templates, and compliance requirements, maintaining consistency with BPMN 2.0 and ISO 9001 standards.
  • Metadata Management: Assign, verify, and improve metadata accuracy for library artifacts (e.g., Document Type, Document Number, PCF ID, Business Unit) to ensure searchability and interconnection across processes.
  • Approval Verification: Confirm proper approvals from relevant stakeholders (e.g., BPM team for content, QA for compliance, or business process owner) are obtained prior to publishing documents in the Controlled BPM Library.
  • Library Administration: Serve as the primary controller for the Controlled BPM Library, monitoring for misalignments, recurring issues, or outdated documents, and escalating or recommending corrective actions to the QA Manager as needed.
  • Compliance and Version Control: Maintain version control, document status (e.g., Draft, Approved, Obsolete), and access controls to ensure documents are legible, identifiable, and protected, aligning with ISO 9001 requirements.
  • Migration Support: Assist in potential migrations from SharePoint to a mature QMS system, applying best practices for data transfer and continuity of document control.
  • Audit Support: Support QA audits by preparing library reports, ensuring documentation meets BPMN and ISO 9001 standards, and providing traceability and compliance evidence as requested.

 

Here are the skills that you need: 

  • Bachelor’s degree in Business Administration, Information Management, Library Science, Quality Management, or a related field (Associates degree with equivalent experience will be considered)
  • 2–4 years of experience in document control, library management, or QMS administration within an ISO 9001-certified environment
  • Working knowledge of BPMN standards, process documentation, and approval workflows
  • Proficiency in SharePoint for document management, metadata assignment, and version control
  • Experience supporting audits (i.e. ISO 9001) and maintaining documentation for compliance readiness
  • Strong attention to detail and organization to ensure accuracy and consistency across controlled content
  • Effective communication skills for collaborating with QA, BPM teams, and process owners
  • Relevant certifications such as ISO 9001 Auditor or BPMN Practitioner are a plus

  • Relevant certifications such as ISO 9001 Auditor or BPMN Practitioner
  • Experience in engineer-to-order (ETO) manufacturing or related industries (e.g., equipment manufacturing, utilities, project management).
  • Familiarity with APQC Process Classification Framework (PCF) and ISO 9001 standards.
  • Exposure to BPMN tools (e.g., Visio, Lucidchart) for verifying diagram consistency in the library.
  • Experience in QMS migrations and implementing best practices for BPM-focused document control.

 

Physical Requirements:

  • Ability to sit at workstation using computer/phone.
  • Frequently required to sit, talk, hear, and see. Specific vision abilities required by this job include close vision and distance vision.
  • Regularly required to move around the facility.
  • Occasionally required to lift and/or move up to 40 pounds
