Job Description:

This position serves as the front lines for the Student Life Office and supports the Dean of Student Life and Title IX Coordinator and the Department of Student Life through various administrative duties.

Essential Functions:

  • Provide direct administrative support to the Department of Student Life and Title IX and the functions/areas under the direction of the Dean of Student Life and Title IX Coordinator which includes Student Conduct, Student Activities, Student Organizations, Title IX, Counseling Services, Disability Resource Center, Veteran's Services, TRIO and other areas as determined. This includes managing functions of the offices(s), answering phones, checking voicemails and returning calls, scheduling appointments, mailings, correspondence, maintaining office data, creating files and making copies which may include highly confidential information, sending faxes, ordering supplies, maintaining office spaces, and assisting with events.

  • Provide quality customer service to students, employees, and visitors which includes greeting individuals, receiving paperwork, taking messages, and maintain positive relationships.

  • Process approved purchasing and travel for Student Life under the direction of the Dean of Student Life and Title IX Coordinator; which may include but not limited to ordering supplies, coordinating travel arrangements, and submitting reimbursements (conference registration, hotel, air, ground transportation, per diem, etc.).

  • Design and maintenance of an efficient filing and data management system within Student Life, which includes confidential storage and annual review of records in accordance with College policies and industry standards.

  • Attend staff meetings as needed including creating agendas and related materials, note­ taking and follow-up as needed.

  • Maintenance of applicable College budgets including monitoring and tracking, maintain spreadsheets, Purchasing Card reconciliation, deposits, purchase orders, budget transfers, etc.

  • Serve the offices that report to the Dean, Student Life & Title IX Coordinator to provide administrative support to the functional areas.

  • Perform other duties as assigned.

Knowledge, Skills, and Abilities:

  • Proficiency in Workday, Maxient,) and other systems as needed.

  • Knowledge of service delivery in a college environment. Understanding of student populations prevalent in community colleges. Knowledge of Workday, Microsoft Outlook, Microsoft Office Suite, and other database and content management systems.

  • Must have strong computer, research, technical, and records management skills. Well developed oral/written communication, organization and administrative skills required. Conflict resolution skills and ability to manage individuals in various states of distress highly desirable.

  • Ability to manage conflict in a calm, productive and professional manner. Excellent customer service orientation. Candidate should have the ability to work in a high volume and dynamic office environment while maintaining a positive and pleasant demeanor.

  • Must be friendly with a willingness to assist with a range of student, faculty, and staff needs. Must be familiar and comfortable working with individuals from a variety of socio-economic, cultural and ethnic backgrounds. Candidate must have a high degree of personal and professional integrity, respect for privacy and confidentiality, a strong sense of ethics, and a commitment to educating students.

Minimum Requirements:

  • High School Diploma or equivalent (G.E.D.)

  • 2 years of prior support staff experience.

  • Experience working in a higher education setting preferred.
