SUMMARY

Under the direction of the Mortgage Operations Manager, the Loan Set-Up Specialist is responsible for the coordination of the loan application process from submission through initial disclosure, ensuring accuracy, timeliness, and compliance with regulatory requirements. This role requires close collaboration with internal teams and external partners to provide efficient, high-quality borrower experience.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Verify that data entries in Loan Origination Systems are complete and accurate prior to generating the initial Loan Estimate and disclosure package.
  • Complete outreach to borrowers via Digital applications or lead resources.
  • Prepare and review the initial Loan Estimate and disclosure documents for accuracy and regulatory compliance before delivery to borrowers, seeking guidance from management when necessary.
  • Monitors and provides revised Loan Estimates within three days of changes. Updates Encompass to document the changes and Loan Estimate delivery timing.
  • Administers and reviews the loan application pipeline to make certain all disclosure packages and deadlines are met. Ensures proper delivery of the disclosure package.
  • Perform essential file setup tasks for each loan application, such as compliance checks, collecting deed and property tax information, generating core relationship and flood reports, reviewing census tract data, running DU/LP findings, etc.
  • Coordinate the collection of key documents and information from Borrowers through communication with MLO’s
  • Obtain mortgage insurance quotes and ensure correct premium amounts are entered into the system prior to generating the Loan Estimate.
  • Performs clerical and data entry functions within mortgage operations and MLO’s supporting file flow.
  • Assist MLO’s with administrative tasks.
  • Comprehensive understanding of Products and guidelines when reviewing new applications for communication with Borrowers. 
  • Contacts MLO’s and Borrowers regarding required fees and processes withdrawals from member accounts as specified, status updates and follow up requests from Processor or Underwriters. 
  • Maintains several activity logs to generate weekly or monthly reports.
  • Participate actively in team and departmental meetings to stay informed and aligned with operational updates.
  • Build and maintain positive relationships with internal and external partners, addressing challenges proactively, supporting continuous process improvement and maintaining a compliant and seamless disclosure process.
  • Perform additional duties and responsibilities as assigned to support departmental goals.


Requirements

QUALIFICATIONS

  • One to two years of experience in mortgage lending or a related field
  • High school diploma or equivalent required.
  • Comfortable working in a fast-paced, high-volume environment.
  • Meticulous attention to detail and excellent organizational skills.
  • Strong communication skills and a proactive problem-solver mindset

KNOWLEDGE

  • Knowledge of TRID, RESPA, HMDA, Regulation B and Z requirements desired.
  • Knowledgeable in secondary market documentation.
  • Familiarity with Encompass and LoansPQ/ MeridianLink preferred; strong computer skills with Microsoft Office applications
  • Understanding of regulations and compliance requirements.
  • A thorough understanding of the Credit Union’s loan products.

The pay range for this position is $20.00 to $25.00 per hour and is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. The range may be modified in the future. An employee’s pay within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, sales or revenue-based metrics, and business or organizational needs and affordability.
