Position Summary:
The Assistant Office Manager supports the daily operations of the medical clinic and ensures the delivery of high-quality patient care. This role assists the medical clinic Office Manager in overseeing staff, coordinating administrative functions, maintaining compliance with healthcare regulations, and promoting a patient-centered environment. The Floating Manager plays a key leadership role in managing workflow, resolving issues, and improving efficiency across clinical and administrative teams.
Key Responsibilities:
- Assist the medical clinic Manager in the day-to-day operations of the medical clinic.
- Supervise front desk, clinical, and support staff in coordination with department leads.
- Ensure efficient patient flow and scheduling processes.
- Monitor and help maintain compliance with all regulatory requirements, including HIPAA, OSHA, and state healthcare guidelines.
- Participate in hiring, training, and evaluating clinic staff.
- Address patient concerns or complaints professionally and promptly.
- Oversee inventory and supply management, including ordering medical and office supplies.
- Assist with billing, coding accuracy, and revenue cycle operations in coordination with the billing department.
- Support implementation of clinic policies, procedures, and quality improvement initiatives.
- Prepare reports on clinic operations, patient volume, and staff performance as needed.
- Act as the Clinic Manager’s delegate in their absence.
Qualifications:
- Associate or bachelor's degree in healthcare administration, Business Administration, or a related field (preferred).
- 3+ years of experience in a healthcare setting, with at least 1 year in a supervisory or administrative role.
- Knowledge of clinical workflows, healthcare regulations, and electronic health record (EHR) systems.
- Strong interpersonal and leadership skills.
- Proficiency in Microsoft Office and EHR platforms (e.g., Epic, Athenahealth, etc.) MDVita is preferred.
- Ability to multitask, problem-solve, and manage time effectively in a fast-paced environment.
Preferred Qualifications:
- Experience in a medical clinic, urgent care, or outpatient specialty practice.
- Certification in medical office management (e.g., CMOM, CMM) or supervisory training.
- Bilingual in English and Spanish is required.
Working Conditions:
- Typical clinical office environment.
- May require occasional evening or weekend hours.
- On-site role; not remote. This role will provide support for Humanitary Medical Center at multiple locations.
