Position: High School Office Manager

 

 

Job Description

 

Scope

 

The High School Office Manager works efficiently with a service-oriented attitude to maintain a supportive and professional environment that cultivates a team “family” environment both within the school and the families that are served.  The Office Manager is an ambassador for the school and is skilled at diplomacy, interacting internally with other schools, administrators, and parents.  The Office Manager provides support for the Administration and Faculty and supervises the reception and office area. 



Qualifications

The candidate shall possess characteristics that reflect:

  • A strong, clear Christian testimony with a mature and godly spirit 
  • A daily example of the highest Christian virtue both in and out of school 
  • Commitment to faithful attendance and support of a church whose beliefs are in agreement with the Statement of Faith for Christian Academy School System.  
  • Agreement and belief that the Bible is the final authority concerning truth, morality, and the proper conduct of mankind

The ideal candidate will possess:

  • Proficiency in Google Suite
  • Exceptional interpersonal, communication, and proofreading skills
  • Ability to collaborate with students, parents, faculty, leadership, and vendors
  • Proven office/administrative experience (school experience preferred)
  • Highly organized with event planning and multi-tasking ability
  • Comfortable with school information systems (e.g., FACTS) and basic content management
  • Maintains the highest level of confidentiality in handling student, family, and employee information
  • Ability to work occasional evenings/weekends for events

 

Accountabilities/Responsibilities

  • Act as primary administrative partner to the Principal(s): advise, coordinate, and implement policies, procedures, and forms that support school leadership.
  • Draft, proof, and distribute principal mailings, parent updates, daily announcements, and the weekly newsletter.
  • Post announcements to the website and manage daily hallway TV content.
  • Coordinate and plan major school events (e.g., graduation, baccalaureate, awards programs, Back-to-School), including vendor contracts, venues, printed materials, and media programs.
  • Manage award slide presentations and graduation logistics.
  • Log and monitor maintenance requests; coordinate priorities with the Facilities Department; schedule shared spaces and campus resources.
  • Manage front office staff; coordinate substitute coverage and daily faculty needs; serve as the school contact for payroll/time-off systems, and HR coordination.
  • Oversee purchase orders, school credit card activity, inventory, and reimbursements; maintain records for vendors, licensing, and club/department expenses; collaborate with the business office.
  • Maintain FACTS and Canvas knowledge to support teachers with grading and report card processing; verify grade accuracy and resolve incomplete grades.
  • Oversee student shadowing, graduation data, transcript/diploma coordination, and counselor support. Maintain student ambassador/shadow database.
  • Serve as medical point-of-contact in classroom incidents; coordinate evacuation drills and campus egress tracking; manage parking assignments for staff and students.
  • Coordinate Chromebook distribution and onboarding; submit tech work orders; manage ID distribution, bell schedule updates, and the electronic sign program.

  • Accurate documentation processed for students and families.
  • Maintains confidentiality and trust while providing reliable support and timely solutions to the High School Administration.
  • Delivers excellent customer service, ensuring students, families, and faculty receive clear communication and effective problem resolution.
  • Ensures accurate, organized records and smooth office operations, supporting grading, events, scheduling, and daily school systems.

 

Reporting Relationship  

 

  • The High School Office Manager is responsible to the High School Principal.
