Your Opportunity
We are seeking an Office Manager for our Downtown Los Angeles Office. This role is essential in fostering a welcoming, professional environment for employees, clients, and visitors, and serving as a key contributor to our workplace culture and first impressions.
The ideal candidate will understand and demonstrate excellence in both internal and external client service, along with providing timely, accurate, and professional administrative support in keeping with Stantec’s high standards.
Your Key Responsibilities
- Oversee office functions to ensure the office runs smoothly.
- Act as HR point of contact for the office, ensure HR information is distributed, and that the HR board is kept up-to-date.
- On-board new employees, ensure equipment is set up and ready, work closely with IT to ensure laptops have necessary software, and ensure new hires have access to all necessary programs.
- Assist with off-boarding employees when departing, including collecting company equipment.
- Act as Health, Safety, Security, and Environmental (HSSE) Coordinator for the office; responsibilities include but are not limited to:
- Update the Emergency Response Plan, distribute it to staff, and collect acknowledgements;
- Conduct annual ladder inspections, order PPE, coordinate annual fire drills, and perform monthly office inspections;
- Update the HSSE bulletin board, attend monthly OSEC meetings, and organize quarterly safety committee meetings; and
- Communicate with the landlord and third-party vendors for any building needs and repairs that arise.
- Oversee vendor contracts and negotiate best rates for office needs.
- Act as wellness champion for office by attending webinars and sharing information, helping the staff collect their points to reduce medical premiums.
- Organize events including holiday party, Stantec in the Community Day, volunteer efforts, happy hours, etc.
- Prepare monthly staff meeting presentations and participate in sharing relevant information with the office.
- Help visitors and leadership with reserving desks and conference rooms and help with AV connections as needed.
- Track office attendance via QR-code Excel spreadsheet.
- Program access cards for office.
- Coordinate with Property Management office regarding vendors, repairs and events.
- Supervise receptionist and act as backup for responsibilities when needed. Direct day-to-day work, provide performance reviews, and support career development.
- Maintain regular communication with the front desk personnel to provide any support needed. Conduct annual evaluations and provide recommendations to support the front desk staff in performing their role efficiently.
- Provide weekly timecard support on Fridays, running reports, helping submit timecards, provide training as needed.
Qualifications
Your Capabilities and Credentials
- Excellent written and spoken communication skills.
- Proficiency with MS Office Suite with expertise in Teams, Outlook, Word, Excel and SharePoint.
- Organization skills and ability to perform detail-oriented work are required.
- Ability to work independently and with others.
- Ability to multi-task and work in a fast-paced environment.
- Commitment to safety and Stantec safety protocols and standards.
- Possess a valid driver's license with a good driving record.
Education and Experience
8 years’ experience in a professional office environment with a high school diploma or an equivalent combination of education and related experience.
Professional experience in A/E industry preferred.
Typical office environment working with computers and remaining sedentary for long periods of time.
