Job Description:
General responsibilities:
The Office Manager, PCP, is responsible for the overall day-to-day operation of the office including the oversight of patient care associates, medical assistants and hybrid certified medical assistants. The Office Manager is also responsible for providing leadership, staff development and management of key functions in order to provide high quality patient care. This position will cover primary care office locations in East Brunswick area.
Lead responsibilities:
- Coordinate clinic operations with collaboration from the dept head.
- Responsible for overall day to day operation of the office including the oversight of the team.
- Oversee all staffing, scheduling, and flow of the practice to ensure a safe environment and quality patient care.
- Plans, directs, organizes, and coordinates the administrative activities.
- Time keeping approval and time off requests. Manage overtime according to budgetary guidelines.
- Ensure patient care is in alignment with Astera/Solara expectation, respond to and address patient complaints and bring any operational deficiencies to leadership.
- Assures that all direct reports are properly cross trained to fill in as necessary.
- Responsible for oversight and management of all inventory and purchasing to ensure the location has adequate inventory for operations.
- Work with outside vendors (such as maintenance, office supplies, cleaning services, etc) for repairs or operation concerns.
- Conduct annual evaluations and counseling and/or disciplinary process.
- Attends management meetings as required.
- Responsible for dissemination of information from monthly meetings with management to staff.
- Manage workflows to ensure adherence across all team members, identify problematic workflows and implement change, in consultation with dept. head.
requirements:
- Bachelor’s degree Business Administration, Healthcare Administration or related health field. (PREFERRED)
- Minimum of two years of healthcare management experience with strong staff management experience. (PREFERRED)
- Three to five years of healthcare front desk or administrative experience.
- High level of empathy and service ethic. A warm and empathetic attitude.
- Strong interpersonal skills and the ability to communicate effectively with varying levels of the organization.
- High level of discretion to work with confidential employee, patient, and operational information.
