Inside Sales Coordinator
Position Overview
The Inside Sales Coordinator supports the sales team by managing customer inquiries, processing sales documentation, maintaining accurate inventory and order records, and ensuring a seamless customer experience from inquiry to delivery. This role serves as a key liaison between customers, sales representatives, and internal departments, ensuring accuracy, timeliness, and exceptional service.
Key Responsibilities
Customer Engagement & Sales Support 
  • Respond promptly to customer inquiries via phone, email, and walk-ins.
  • Provide quotes, product details, and assist customers in selecting appropriate trailers or equipment.
  • Prepare and process sales agreements in compliance with IRS and company requirements.
  • Support outside sales representatives by tracking sales orders and ensuring documentation is complete and accurate.
  • Coordinate with financial institutions to support customer financing when necessary.
Online & Marketing Support 
  • Maintain online trailer listings by taking photos, uploading accurate descriptions, and ensuring up-to-date availability.
  • Respond to online leads and route them to the appropriate sales representative when needed.
  • Assist with digital advertising updates and coordinate promotional listings.
Inventory & Order Management 
  • Maintain the sales stock list and update records when inventory changes.
  • Track new trailer arrivals, inspect for damage, and document condition upon receipt.
  • Monitor backorders and pending deliveries to ensure customer expectations are met.
  • Report damages or discrepancies to vendors and follow up for resolution.
Documentation & Reporting 
  • Ensure all title, warranty, and registration paperwork is processed accurately and in a timely manner.
  • Prepare weekly and monthly sales reports for accounting and management.
  • Maintain accurate CRM and sales tracking records to support business planning and compliance.

 

Qualifications

  • Minimum 2 years of experience in sales coordination, inside sales, or administrative support.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with CRM or ERP software preferred.
  • Strong organizational, communication, and time management skills.
  • Ability to manage multiple priorities with attention to detail and accuracy.
