Job Description:

General Responsibilities:

  • Provide administration support including scheduling meetings and managing calendar.
  • Prepare and distribute documents, presentations, and correspondence as needed.
  • Organize and prepare materials for meetings, including agendas and ensure catering is provided, if necessary.
  • Arranges travel and accommodations.
  • Responsible for completing expense reports in a timely manner.
  • Maintain the highest level of confidentiality, handling sensitive information with discretion and integrity.
  • Ad hoc projects as assigned.

Additional Responsibilities:

  • Assist with scheduling home services as needed, i.e. plumbing, HVAC, yard, pool, and home repair/remodeling.
  • Help with personal errands such has car maintenance, pick-up/drop-off dry cleaning, event planning, and gift purchasing.
  • Maintain personal schedule to ensure there are no conflicting appointments with work, as well as ensure children’s activities are added to calendars.

Qualifications:

  • Bachelors degree in Business Administration, Communications or related field preferred.
  • Minimum of 5+ years of experience as an Executive Assistant
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to manage multiple priorities and projects simultaneously with a high degree of accuracy.

Strong problem-solving skills and the ability to work independently
