- Manage daily administrative operations, including digital filing systems, scheduling, correspondence, and departmental workflow.
- Provide administrative support to the Director and senior leadership team, ensuring timely preparation of contracts, reports, and presentations.
- Coordinate payroll processing, vendor payments, subrecipient reimbursements, and budget support using Lawson/ERP and OnBase systems.
- Organize and manage department calendars in Microsoft Outlook and Teams; coordinate public meetings, hybrid/virtual sessions, and community events.
- Maintain electronic filing and records retention compliance in alignment with County and federal standards.
- Assist with budget preparation, monitoring of expenditures, and reconciliation of financial reports for grant reimbursement.
- Support procurement processes by preparing requisitions, tracking purchase orders, and maintaining supply inventories.
- Draft and proof correspondence, reports, and meeting materials; ensure professional quality of public-facing communications.
- Serve as the primary point of contact for departmental inquiries, directing information to appropriate staff.
- Provide administrative support during emergency management activations, including digital tracking of documentation and scheduling.
- Perform other duties as assigned to ensure efficient operations of the department.
Participates in activities and duties related to emergency management during a local state of disaster as directed by appropriate county managers.
MINIMUM JOB REQUIREMENTS:
- High School Diploma/GED.
- 5 years administrative or office management experience, preferably in a government, nonprofit or community development setting; Experience with payroll, budget preparation and office administration required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Teams, SharePoint, and digital filing/document management systems.
- Strong organizational and multitasking skills with the ability to manage competing priorities.
- Excellent written and verbal communication skills.
- Ability to prepare accurate reports, correspondence, and meeting materials.
- Strong interpersonal skills with the ability to engage effectively with staff, leadership, elected officials, and the public.
- Discretion in handling confidential and sensitive information.
STARTING SALARY RANGE: $20.50 - $25.63 hourly based on qualifications
CLOSING DATE: Upon filling position
