General Description / Primary Purpose:

The Director Admissions Operations, under the supervision of the Assistant Vice President or above, provides leadership and guidance to Enrollment Services and the University community regarding admissions application collection and review processes with a dedication to helping the University achieve its enrollment goals.

Job Function:

  • Responsible for daily management of the Enrollment Services Processing unit.

  • Supervise all staff and oversee unit training.

  • Provide oversight of workflows for admissions and the University community.

  • Hire, supervise and evaluate support staff.

  • Provide oversight for and enhance office workflow processes to ensure accuracy of data input into the system.

  • Ensure the staff understands and upholds the Enrollment Services and University brand promise.

  • Coordinate processing staff coverage for Enrollment Services functions.

  • Lead cross-functional teams and manage change in complex environments.

  • Serve as a key liaison between Enrollment Services and academic colleges to ensure alignment of admissions processing with program-specific requirements.

  • Collaboration with IT, Institutional Research, Academic Affairs, and Marketing to reflect the unit’s strategic and operational breadth.

  • Lead continuous improvement initiatives to streamline admissions workflows and enhance applicant experience.

  • Ensure compliance with admissions and University policies and regulations as set by the University and the state of Florida as well as per federal and accreditation guidance.

  • Practice and expect superior student information privacy standards.

  • Ensure audit readiness and maintain documentation for internal and external reviews.

  • Responsible for setting, documenting and reporting progress towards and attainment of Enrollment Services, Enrollment Services Processing, and University strategic goals.

  • Work with Enrollment Services leadership to help develop and implement strategies that attract students to the institution.

  • Analyze data to monitor enrollment progress and inform strategic decisions.

  • Maintain up-to-date knowledge of educational trends, changes in policies, and new programs.

  • Direct assigned areas of responsibility to ensure established goals and objectives are communicated and attained within the unit and among University stakeholder groups.

  • Collaborate with Institutional Research to develop predictive models and dashboards for admissions funnel analysis

  • Maintain University processing systems, including the admissions CRM, the SIS, and imaging systems.

  • Meticulously oversee all admissions processing workflows.

  • Responsible for the oversight of document imaging and indexing of paper and electronic documents.

  • Oversee admissions impacted software upgrades.

  • Proactively seek systems and process enhancements with an eye on data driven efficiencies.

  • Partner with IT and vendors to ensure system integrity, data security, and optimal performance.

  • Work closely with the Admissions leadership team to ensure consistent, timely, meaningful, on-brand, and accurate communication to prospective and current students regarding the their admissions applications, decisions, and Florida residency (for tuition purposes) statuses.

Marginal Functions:

  • During declared campus emergencies, this position may be required to lead, establish and perform specific job-related duties at a designated off campus location or place of residence.

  • Assists with special projects and events as needed.

 

Required Qualifications

Master's and 6+ years of relevant experience or Bachelor's degree and 8+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.
  • Superior organizational skills and attention to detail
  • Proven leadership experience
  • Experience in managing teams through successful process enhancement projects
  • Experience in change management
  • Strong working knowledge of student information and document imaging systems
  • Working knowledge in Slate, including systems integrations and configuration, optimization, data and access governance, and admissions automations
  • Ability to read and assemble data, report it, and develop actions based on it
  • A clear commitment to higher education and admissions
  • Effective professional communication skills.
