Position: Senior Office Assistant - Sponsorship & Partnership
Department: Parks, Arts, Rec & Community Services
Hourly Range: $27.06 - 31.32
Classification: Temporary
FLSA: Non-Exempt
Job Summary:
Assist office staff by performing clerical duties under general supervision.
Supervisory Responsibilities:
- May oversee Office Assistants
Responsibilities may include, but are not limited to:
- Greet clients, visitors, and potential sponsors or partners in a professional manner.
- Perform general office duties, run errands, and assist with event logistics for partnership and sponsorship initiatives.
- Handle incoming calls and communications related to sponsorships, partnerships, and community collaborations.
- Assist with outreach to local businesses, organizations, and community groups for sponsorship opportunities.
- Maintain and update a database of sponsors, partners, and prospects, including tracking communication and deliverables.
- Prepare partnership proposals, sponsorship packets, and follow-up correspondence as directed.
- Coordinate meetings with internal departments and external partners to discuss collaboration opportunities.
- Manage filing systems, records, and documentation related to sponsorship agreements and partnership contracts.
- Assist with tracking sponsorship benefits and ensuring fulfillment of agreements (e.g., logo placement, recognition, event presence).
- Support the development of marketing materials and presentations for sponsorship campaigns and citywide events.
- Distribute workload or assign workflow on a daily/weekly basis as needed.
- Check the completeness of staff work and correct or reject as necessary.
- Oversee and guide office assistants in their tasks, particularly related to partnership coordination and sponsor support.
- Train other staff members on partnership processes and administrative protocols.
- Assist supervisors and management staff with special projects, community engagement efforts, and sponsorship tracking.
- Establish and maintain efficient work processes and communication systems within the team.
- Work independently, managing multiple tasks and priorities with minimal supervision.
- Perform other related duties as assigned.

Minimum Qualifications and Desired Skills:
- Any equivalent combination of education and experience that provides the knowledge, skills, and abilities necessary for acceptable job performance
- Currently enrolled in a college or university majoring in Business or a related field is desirable
- Strong interpersonal and communication skills, with the ability to interact effectively with community partners, sponsors, and City staff
- Organizational skills and attention to detail for managing sponsorship records, deadlines, and deliverables
- Ability to research and identify potential partnership opportunities that align with City goals and initiatives
