MAILING, FULFILLMENT & LOGISTICS MANAGER

ABOUT THE ROLE
The Mailing, Fulfillment & Logistics Manager is responsible for directing and overseeing all aspects of mailing, fulfillment, shipping, receiving, and logistics operations. This position ensures the accurate, timely, and cost-effective processing and delivery of products and materials, while maintaining compliance with postal regulations, safety standards, and company quality benchmarks.
This is a management-level role requiring strong leadership, excellent organizational and communication skills, and in-depth knowledge of logistics, mailing procedures, and warehouse operations. The Mailing, Fulfillment & Logistics Manager also collaborates cross-functionally with production, sales, client services, and senior leadership to ensure client expectations are consistently met and exceeded.

RESPONSIBILITIES
Manage Mailing Operations:
- Oversees execution of all direct mail, variable data mailings, and shipping projects.
- Ensures compliance with USPS regulations, commercial shipping requirements, and industry best practices.
- Maximizes postal savings through presort and automation discounts and optimizes mailing schedules for speed and efficiency.
- Utilizes postal software (e.g., BCC, Satori) and equipment to ensure address accuracy, barcoding, and delivery tracking.
Fulfillment & Warehouse Oversight:
- Leads fulfillment processes, including kitting, pick/pack/ship, inventory control, and custom packaging.
- Manages inbound/outbound shipments and the timely processing of client orders.
- Maintains organization and cleanliness in the warehouse and fulfillment areas.
- Implements and monitors systems for efficient stock replenishment, inventory tracking, and cycle counting.
Logistics & Transportation Management:
- Develops and manages transportation strategies, including carrier negotiations and freight cost optimization.
- Tracks and resolves delivery issues such as delays, damages, or mis deliveries.
- Ensures proper documentation for domestic and international shipments.
Leadership & Staff Development:
- Supervises department leads and staff across mailing, fulfillment, and logistics functions.
- Manages staffing levels, scheduling, and workload balancing.
- Hires, trains, and mentors employees to support professional growth and departmental success.
- Fosters a positive, safety-focused team culture that aligns with company values.
Operational Performance & Compliance:
- Monitors KPIs (e.g., on-time delivery, order accuracy, inventory accuracy) and implements continuous improvement strategies.
- Develops and manages departmental budgets, including labor and materials costs.
- Ensures OSHA compliance and leads safety programs across the department.
- Partners with cross-functional leaders to improve workflow and increase operational efficiency.
Customer & Internal Communication:
- Responds to customer service concerns related to shipping, tracking, and order fulfillment.
- Works closely with production managers and client service teams to meet job timelines and special handling requirements.
General Responsibilities:
- Serves as department subject matter expert.
- Supports or backs up warehouse, shipping, and mailing team functions when needed.
- Participates in company-wide projects and initiatives.
Adheres to and promotes all company policies and procedures, including information security and safety protocols
QUALIFICATIONS
- Minimum 5–7 years of related experience in mailing, logistics, warehousing, or fulfillment management.
- Proven experience managing USPS-compliant mailings and/or high-volume distribution operations.
- Experience leading teams in a production or warehouse environment with demonstrated people management success.
- Familiarity with postal software, warehouse management systems (WMS), and shipping platforms (e.g., UPS WorldShip, FedEx Ship Manager).

PHYSICAL REQUIREMENTS
- Ability to stand and walk for long periods in a warehouse or production setting.
- Frequent lifting/moving of materials up to 50 lbs.
- Dexterity for handling mailing and fulfillment tasks.
- Occasional bending, stooping, or climbing.
- Flexibility to work extended hours as needed during peak periods.
WORK ENVIRONMENT
This position is predominantly held in a clerical environment and on the production floor in an industrial warehouse setting.
- This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
- While performing the duties of this job, the employee is frequently exposed to fumes or airborne particles, moving mechanical parts, and vibration. The noise level in the work environment can be loud.
