Position Purpose:
The Special Guest Relations Scheduling Coordinator serves as the central liaison for all external guest speakers and ministry guests. This role unifies communication across departments, ensuring that every guest is scheduled, hosted, and supported with excellence. By consolidating requests, managing logistics, and providing professional communication, the coordinator helps maintain a high level of organization and hospitality that reflects the ministry’s values.
Essential Duties:
- Act as the central liaison for all external special guest speakers and guest-related logistics from arrival through departure, with the ability to quickly adjust as needed.
- Ensure professional, timely, and respectful communication with all special guests.
- Manage communication and scheduling requests across multiple departments, including Conferences, Charis (chapels, 3rd Year, specialized programs), GTN, Truth & Liberty, ARMI, and guest luncheons.
- Maintain a master guest schedule (via Monday.com or equivalent platform) accessible to relevant departments, ensuring visibility, organization, and coordination while communicating updates in a precise and timely fashion.
- Provide departments with clear information on guest availability, expectations, preferences, and commitments.
- Field, record, and approve/decline departmental requests for guest participation (teaching, filming, interviews, lunches, workshops) and prioritize based on leadership direction and approval.
- Coordinate with travel and lodging teams to ensure smooth arrivals and hospitality.
- Protect guest experience by preventing last-minute or excessive requests and ensuring they are well-prepared for their role on-site.
- Collaborate with leadership and project management teams to develop policies, procedures, and automation tools for guest scheduling and communication.
- Gather necessary details for guest speaker itineraries, coordinating engagements across multiple departments, events, and locations.
- Send and update professional, detailed calendar invitations for guest speakers, ensuring they are accurate and precisely aligned with the schedule.
- Maintain detailed records of special guest speaker scheduling preferences, speaking engagement requests and acceptances, and related information.
- Field Special Guest speaker and schedule-related questions, providing accurate responses or directing inquiries to the appropriate staff as needed.
- Navigate organizational chain of command effectively and with discernment, knowing when to manage requests directly and when to escalate for leadership approval.
- Other duties as assigned.
Qualifications
Knowledge, Skills, and Abilities:
- Impeccable communication, organization, and administrative skills with high attention to detail.
- Professional and hospitable demeanor; able to represent the ministry well to high-profile guests.
- Strong interpersonal skills and high emotional intelligence; able to read situations well and respond to sensitive situations with professionalism, kindness, and confidentiality.
- Strong problem-solving skills
- Self-driven, working with a sense of urgency and efficiency in daily tasks.
- Must be able to operate a Windows-based computer and navigate Microsoft Office Suite.
Requirements:
- Must have a personal relationship with Jesus Christ.
- Must sign the Statement of Faith.
- A high school diploma or equivalent education is required.
- A Charis Bible College graduate and/or AWM/Charis employee is preferred.
- Ability to travel between AWM HQ and/or Charis Bible College locations in Woodland Park, CO.
- Must be dependable and punctual.
- Type 60 plus wpm with a least 90% accuracy required.
- Must pass all required checks.
Experience:
- Minimum of two (2) years’ experience in event planning, guest relations, scheduling, or ministry coordination preferred.
- Comfortable using project management tools (e.g., Monday.com, SharePoint, Outlook integrations).
- Proficient in Word, Excel, Outlook, and communicating with excellence through various platforms.
- Compensation commensurate with experience.
